We are seeking an Executive Administrative Business Partner on a contract basis to support two leaders. This role is a hybrid setup (3 days onsite, 2 days remote/week) in Mountain View, CA. Onsite hours: 8 am-4 pm or 9 am-5 pm
The Executive Administrative Business Partner (EABP) provides high-level support to executives, ensuring effective use of time, efficient operations, and productive interactions with staff and stakeholders. This role handles a broad range of administrative and executive support functions, including scheduling, office management, communications, data analysis, and records management. The EABP will support 2–3 directors across different business groups within the GBSG organization, requiring a proactive, detail-oriented, and resourceful individual who can anticipate needs and create structure in a fast-paced environment.
Responsibilities:
- Manage executive calendars, proactively scheduling work time and prioritizing commitments.
- Prepare executives for meetings by coordinating logistics, gathering materials, and ensuring follow-up on action items.
- Serve as liaison between executives and internal/external stakeholders, handling communications with discretion and professionalism.
- Draft, edit, and prepare correspondence, presentations, and reports.
- Track, analyze, and present information for executive decision-making.
- Maintain accurate company records and manage sensitive or confidential information.
- Coordinate large meetings, events, and travel arrangements as needed.
- Identify patterns, anticipate needs, and recommend solutions to improve efficiency.
- Uphold knowledge of company operations and procedures to better support leadership.
- Supervise and provide guidance to clerical staff when necessary.
Skills and Responsibilities:
- Minimum of 3 years of experience as an executive assistant, administrative business partner, or in a similar support role.
- Proven ability to support multiple executives or leaders simultaneously.
- Strong organizational and time-management skills with the ability to manage competing priorities.
- Excellent written and verbal communication skills.
- High level of discretion, judgment, and professionalism in handling sensitive information.
- Strong proficiency in Microsoft Office Suite and/or Google Workspace tools.
- Ability to adapt quickly to changing priorities in a fast-paced environment.
Preferred:
- Confident supporting 2–3 closely connected directors across different business groups.
- Highly organized and proactive in creating structure and anticipating needs.
- Skilled at recognizing patterns, solving problems before they arise, and “seeing around corners.”
- Brings calm to chaos and enables executives to focus on high-priority work.
- Collaborative, approachable, and able to foster positive relationships at all levels of the organization.
