Our Customer is seeking an Executive Assistant on a contract basis to help support their business needs. This role is 100% remote.
This role provides comprehensive administrative support to team and functional leaders, including managing schedules and taking ownership of workstreams, function-wide events, and cross-team coordination.
Work is proactive and anticipatory, focused on improving efficiency, streamlining workflows, and contributing to function-wide initiatives. The Executive Assistant works with minimal guidance, exercises sound judgment in navigating complex situations, and begins influencing how work is organized beyond their own scope.
Responsibilities:
- Manage complex executive calendars and prioritize competing scheduling requests
- Optimize calendars to maximize efficiency across leaders and cross-functional teams
- Anticipate executive needs and proactively coordinate schedules, meetings, and priorities
- Plan and coordinate team meetings, events, recognition activities, and off-site gatherings
- Arrange business travel, prepare itineraries, and manage travel logistics
- Prepare and manage expense reports and support budget tracking activities
- Organize, maintain, and manage team documentation, resources, and shared information
- Collect, organize, and report team and functional data while ensuring accuracy and accessibility
- Prepare executive communications, presentations, meeting materials, and other business documents
- Coordinate with cross-functional teams to support organizational initiatives and operational priorities
- Streamline administrative workflows and recommend process improvements
- Act as a trusted representative for leadership by exercising sound judgment and professionalism
- Handle confidential information with the highest level of discretion and integrity
- Support additional administrative and operational projects as assigned
Skills and Qualifications:
- 6+ years of progressive administrative experience supporting Director- and/or Vice President-level executives
- Experience managing complex executive calendars and competing priorities
- Experience coordinating meetings, travel, events, and executive operations
- Experience with budget tracking and expense management tools
- Proficiency with Google Workspace, including Calendar, Drive, Docs, Sheets, and Slides, or equivalent productivity tools
- Experience preparing presentations, reports, and executive communications
- Familiarity with AI productivity tools such as Claude or willingness to learn
- Excellent organizational and time management skills
- Strong verbal and written communication skills
- Ability to work independently with minimal supervision
- Demonstrated ability to anticipate executive needs and proactively solve problems
- Strong collaboration and stakeholder management skills
- Ability to maintain confidentiality and exercise sound judgment with sensitive information
- Strong attention to detail and ability to manage multiple priorities in a fast-paced environment
