Executive Assistant
We are seeking a collaborative, and highly motivated Executive Assistant.
You will support the CEO along with ad hoc support for other senior leadership, and report to the CFO.
The perfect candidate possesses a can-do attitude, enjoys working with individuals from all walks of life, and has the drive to jump in and roll up their sleeves to get things done. You get joy out of streamlining hectic days while remaining organized, flexible, and communicative.
You have a passion for learning and creating a warm and welcoming atmosphere daily. This role has no supervisory responsibilities.
Key Responsibilities
- Prioritizing executive’s needs while maintaining high levels of discretion, integrity, and judgement when handling confidential and proprietary materials
- Exercise diplomacy on behalf of both employees and CEO; meet with CEO regularly to prioritize
- Triage requests based on bandwidth and availability of team members
- Calendar management, including mediation for different executives
- Organize domestic and international travel (flights, hotel, car), meal reservations, and the creation of itineraries for both internal and external stakeholders; manage corporate travel partner
- Assist and communicate with members of the Board of Directors, as well as advisory board members, including prominent physician advisors
- High-level candidate and VIP scheduling
Qualifications
- Ability to take direction, exercise discretion, work independently, and anticipate the needs of others
- Proficiency with Outlook/Office 365, Gmail/Google, Zoom and Slack,
- Experience interfacing with venture capitalists, corporate development, and related entities, and experience with medical device, med-tech or clinical settings, a plus
Physical requirements
- Ability to sit for extended periods while working at a computer
- Occasional lifting of equipment or supplies weighing up to 15 – 20 pounds
- Ability to communicate effectively in person, over the phone, and through electronic means
- Manual dexterity to operate computers and other office equipment
