Job description
Our Customer is an American computer and consumer electronics company famous for creating phones and computers. As one of the largest companies globally with a market cap of over 2 trillion dollars, it is a major leader in the space. Although this company was founded in 1976 it has transformed how we connect and communicate worldwide.
Our Customer is seeking an Executive Assistant on a contract basis to help support our Customer's business needs. This role is hybrid (3 days onsite 2 days remote/week) in Culver City, CA.
This position will provide support for 3 non-fiction programming executives at the company. The role will work across both non-fiction series and documentary features. Two of the executives primarily focus on sports, while the third covers a wide range of projects within the non-fiction space. The successful candidate will be a collaborative team member with a friendly demeanor and determined work ethic. We need someone exceptionally well-organized and able to effectively multi-task & prioritize, taking initiative and budgeting time for special projects.
Responsibilities:
- Provide full administrative support to 3 non-fiction programming executives
- Ability to run cross-functional calendars with heavy scheduling, manage and facilitate in person meetings, set up video conference and conference calls, and book executive travel
- Manage and track submissions and pitch materials
- Quickly develop an understanding of the teams operations, culture, policies and procedures
- Consistent interaction with top Executive Admins and Executives within the company
- Handle and maintain highly confidential and sensitive information
- Contribute a fun and creative approach to team activities and morale
Qualifications:
- Bachelor's degree or equivalent experience
- Minimum of 1 year of experience assisting an entertainment executive
- Excellent organization skills, acute attention to detail, ability to balance multiple tasks in a fast-paced and time sensitive environment
- Consistent record of meeting deadlines and taking initiative to make decisions quickly and under pressure
- Experience calendaring for busy executives
- Proactive ability to anticipate needs and react efficiently and calmly in the face of changes
- Direct experience dealing with sensitive and confidential information with integrity
- Excellent written and verbal communication skills knowing when to delegate issues upward
- Resolved, results-oriented and excited to tackle challenges while remaining calm under pressure
- Confident in making decisions on your own when needed and articulate your reasoning
- Overall ability to understand and retain new information quickly with a passion for learning new things, continuous improvement and sharing best practices
- Ability to establish and maintain effective business partnerships
- Critical thinking needed, able to understand the business and see the “big picture”
- Ability to excel working with complex and different personalities diplomatically
- Experience completing expense reports.
- Proficient iCal, Keynote, Numbers and Pages
