Job description
Title: Legal Executive Assistant
Location: Lafayette, CA Office & 1 day/week WFH
Status: This is a non-exempt, hourly position with flexible hours, ~ 30hrs/wk
Hourly Range: $30/hr - $45/hr (or annualized to $46,800 - $75,000) Exact compensation may vary based on skills, experience, and location
Ideal Candidate: Experienced in supporting attorneys, is a master gatekeeper who has a roll-up-the-sleeves mentality, and is willing to provide support where needed.
Flex-Factor: 1 day/wk WFH, flexible and set schedule to accommodate family obligations with core work hours in-office.
Our client is a boutique law firm in Lafayette, CA, whose practice focuses primarily on business transactions and estate planning. They are seeking a highly organized, personable Executive Assistant to support one attorney in managing their priorities and time. This role will also serve as the face of the office with some general office support to ensure smooth day-to-day operations and provide a broad spectrum of administrative services under the supervision of an Office Manager and Attorneys.
DAY-TO-DAY RESPONSIBILITIES INCLUDE
- Communicate effectively with attorneys to ensure they provide a high a high level client service
- Complete wide variety of administrative tasks for attorney, including managing extremely active calendars
- Work closely and effectively with attorney to keep him informed of upcoming commitments and responsibilities, following up accordingly
- Manage Firm Calendar and coordinate all client meetings/calls/Zooms
- Answer incoming calls and return Client calls
- Assist with special projects and tasks as assigned
- Deliver quality, proactive client service by addressing client inquiries timely, accurately, professionally, and courteously
- Maintain updated and accurate client account and contact information
- Enter Client Matter Expenses into Practice Management System (Clio)
- Prepare Client Letters & Mailings
- Send Thank You Cards for Referrals
- Manage firm Holiday Card Execution
- Manage mass Client communications (physical mailings, email, campaigns, etc.)
- Other tasks and duties as assigned
- Proven working experience as a receptionist/assistant in a law office or similar
- executive office
- General familiarity with law, legal procedures, and protocols or strong desire to learn
- Satisfactory knowledge of the day-to-day operations of a legal office
- Strong computer literacy
- Proficiency in English
