The Mom Project is thrilled to partner with our client! They are looking for an Executive Assistant to perform a variety of administrative tasks and support the CEO.

  • Status: Full-Time, Temporary to Permanent
  • 20 hours/week
  • 90% Remote- Candidates MUST sit in Chicagoland area
  • 6 Month Contract to Hire Opportunity

Position Description

They are looking for an Executive Assistant to perform a variety of administrative tasks and support our company’s senior-level managers as well as provide primary administrative support for high-stakes client engagement.

Executive Assistant’s responsibilities include managing calendars, making travel arrangements and preparing expense reports. To be successful in this role, you should be well-organized, have great time management skills and be able to act without guidance. Ultimately, you will contribute to the efficiency of our business by providing personalized and timely support to executive members.

Location

Candidates must be local to Chicagoland area, but will be primarily remote. There are plans for the firm to potentially open an office in Summer 2024

Job Responsibilities

  • Act as the point of contact among executives, employees, clients and other external partners associated with the primary client account
  • Manage executives’ and team members calendars and set up meetings
  • Make travel and accommodation arrangements as needed
  • Provide support for administration, logistics and coordination of regular company board meetings
  • Providing administrative assistance, such as writing and editing e-mails, drafting memos, and preparing communications on the executive’s behalf
  • Track expenses and prepare weekly, monthly or quarterly reports
  • Format information for internal and external communication – memos, emails, presentations, reports; Manage information flow in a timely and accurate manner

Position Requirements

  • Work experience as an Executive Assistant, Personal Assistant or similar role
  • Excellent MS Office knowledge
  • Outstanding organizational and time management skills
  • Familiarity with office technology and applications
  • Excellent verbal and written communications skills
  • Discretion and confidentiality
  • Proactivity
  • High School degree
  • PA diploma or certification is a plus
