Job description

The Role

We are currently seeking an Executive Assistant to provide comprehensive support to our Co-CEO/President at our New York office 5 days a week.

The successful candidate will thrive in a dynamic, fast-paced environment and demonstrate proficiency in managing various responsibilities concurrently.

This role is a blend of professional and personal assistant duties, 70% professional tasks, and 30% personal assistant responsibilities. However, the exact percentage may vary depending on seasonal demands and business needs.

What You’ll Do

  1. Manage daily scheduling, coordination, and meeting logistics efficiently, providing high-quality support with minimal oversight and prioritizing tasks to align with business needs.
  2. Coordinate and oversee comprehensive domestic and international travel arrangements, handling expense reports efficiently.
  3. Prepare the Co-CEO for all internal and external meetings by gathering materials from internal stakeholders, creating detailed agendas, drafting preparation documents, and ensuring all required materials are organized and available.
  4. Keep the Co-CEO informed about ongoing projects, emails, mail, and other correspondence.
  5. Build and nurture relationships with executives and team members across the organization to enhance collaboration and communication.
  6. Support various projects and assist in organizing company offsites as needed.
  7. Arrange car services for all travel needs, ensuring timely and convenient transportation.
  8. Manage and coordinate the Co-CEO’s personal appointments, optimizing their schedule for maximum efficiency.
  9. Responsible for coordinating and managing all aspects of breakfast and lunch arrangements
  10. Handle family arrangements with discretion and meticulous attention to detail, managing confidential matters effectively.
  11. Organize personal domestic and international travel, including accommodations and itinerary planning, while managing other personal tasks as needed.

Qualifications

  1. Bachelor's degree; 5+ years' experience in an Executive Assistant role.
  2. Ability to be proactive and take initiative.
  3. Prior experience working for a C-Suite executive or senior leader within a company preferred.
  4. Ability to work in a fast-paced environment, and ability to pivot at a moment’s notice.
  5. Highly motivated and ability to multitask.
  6. Excellent interpersonal and verbal and written communication skills.
  7. Strong administrative, planning, and organizational skills.
  8. Exercise good judgment in a variety of situations.
  9. Respect for confidentiality and discretion to properly handle sensitive information.
  10. Meticulous attention to detail and accuracy.
  11. Proven competency using G-Suite and MS Office applications
