Job description

Executive Assistant

100% Remote

40 hours/week

We're seeking a highly motivated and experienced Executive Assistant to join our growing team and support our C-Suite team. This person will report to the Director of People.

This contract to perm (40 hours) position will be a remote role, 5% travel may be required.

Key Area of Responsibilities:

  1. Support the CEO in administrative needs providing leverage for her to focus on critical business needs
  2. Support CEO and Capital Markets function by updating and maintaining contacts in Salesforce, LinkedIn and Gmail
  3. Collaborate with Executive(s) to book hard-to-schedule meetings, across multiple time zones, with other execs and leaders, distributing email invites for virtual meetings, and preparing meeting agendas and materials.
  4. Provide organizational support to the Executive(s). Helping to ensure action items, deadlines, and deliverables are completed.
  5. Provide meeting support and prep to effectively help run both internal and external meetings
  6. Coordinates all logistics and materials for investor and board meetings, including agendas and decks.
  7. Produce key communications for Executive(s) and team including, presentations, email, and other correspondence.
  8. Book travel and accommodations.
  9. Assist with planning team events and off-sites.
  10. Maintain confidentiality and discretion.
  11. Submit all expense reports and receipts on behalf of the Executive(s).
  12. Organize and update Executive(s) electronic files as needed.
  13. Manage Executive(s) ad-hoc projects.

Required Skills & Strengths:

  1. 5+ years experience as an Executive Assistant supporting a c-level executive, ideally at a fast-paced startup.
  2. Excellent interpersonal and communication skills (written and verbal) across different functions
  3. Proficiency with Google Suite/Microsoft Office Applications (Word, Excel, Outlook, PowerPoint, etc.)
  4. Proficiency with Salesforce.com
  5. Maintain, update or create databases and/or database information (e.g. files, trackers, etc.).
  6. Able to anticipate needs, forward thinker, and comfortable with ambiguity.
  7. Ability to intuitively shift gears quickly as priorities change.
  8. Strong organizational skills with great attention to detail.
  9. Proactive approach to managing tasks and responsibilities; excel at anticipating needs.
  10. Excellent follow-through. Ability to keep the pieces moving and not let anything fall through the cracks.
  11. Inherently focused on creative approaches to solving operational problems efficiently.
  12. Strong adaptability, flexibility and resourcefulness
