We are seeking an Executive Assistant on a contract basis to be a strategic business partner to either a VP and additional directors or up to 3 Directors and a team who strives for excellence in assisting multiple teams to be efficient, productive, and flawless for the customers. This role is a hybrid setup with 3 days remote and 2 days onsite in Mountain View, CA.

What You'll Do:

  • Proactive management of heavy and complex calendars and scheduling to support teams based on a thorough understanding of business priorities across multiple time zones
  • Plan, coordinate, and ensure schedule is followed and appropriately prioritized; keeping them well-informed of upcoming commitments and responsibilities, following up appropriately
  • Manage supporting teams' Distribution lists
  • Event planning to include support of large meetings, off-site and team-building events, and travel when required
  • Travel coordination and arrangements
  • Partner across organizational boundaries to deliver outcomes with other Executive Assistants and business partners
  • Take initiative in researching, implementing, and improving systems and processes
  • Possess a high degree of initiative to take independent action and be able to always exercise proper judgment
  • Tame organized chaos while remaining calm and composed
  • Be trustworthy and able to exhibit a high degree of confidentiality and integrity
  • Manage and reconcile expense reports on behalf of the leaders
  • Maintain organizational charts every quarter or when organizational changes happen
  • Prioritize people and situations in need of immediate attention and response to inquiries
    • Please note that priority will be her direct manager - VP
  • Complete tasks that are never too big or small
  • Attend the EABP staff meetings, offsite, and events that are led by the Senior Executive Assistant Business Partner (EABP) to the CISO
    • Attend a yearly EABP offsite typically in San Francisco
  • Support the CISO on a rotational basis
  • Lead EABP will work with each Admin on the team to help cover the CISO calendar when she is out of the office
  • Be a social and cultural touchpoint for a multi-center team (Mountain View, Tel Aviv, San Diego, New York)
  • Team site Space Champion supporting the VP as the site Steward working directly with WorkPlace Services on team relocations and flex booking permanent seating solutions\

Must-Haves:

  • Minimum of 5 years working at the executive administrative level, preferably supporting senior staff members
  • Technically Savvy, particularly with Outlook (advanced), Google Sheets (intermediate), Google Docs (intermediate), Google Slides (intermediate), and Concur
  • Expert-level knowledge of Windows desktop computer applications and Microsoft Office (Advanced Word, Excel, PowerPoint) skills and office equipment are essential
  • Ability to exercise complete discretion and handle highly confidential information
  • Self-starter who can operate independently and move quickly from one task to another; creative problem solver, who seeks "win-win" solutions; energized by challenges
  • Anticipatory—must be able to plan and identify unforeseen needs
  • Adaptability— embrace change and pivot when changes arise

  • Ability to format high-level presentations and database applications

Education:

  • A Bachelor's degree is preferred

Hours & Location:

  • M-F, 40 hours/week. This role is a hybrid setup with 3 days remote and 2 days onsite in Mountain View, CA.
