***The salary range for this position is $57,075.20 - $79,248.00 per year.***

The Mom Project is excited to partner with Grainger in their search for an Executive Assistant. This role is a hybrid setup in Chicago, IL with occasional travel to Lake Forest, IL headquarters required.

Position Details:

You will be supporting and reporting to the VP, Grainger Insights, and will and will also support the Senior Director, Applied Machine Learning.

You will manage multiple administrative responsibilities with a high degree of responsiveness, as the first contact for general department inquiries, and ensure all confidential-nature incoming requests are prioritized to meet business objectives.

You Will:

  • Manage the leader’s time through strategic and proactive calendar management and scheduling, including preparing any necessary documentation (e.g., agenda, presentations) for scheduled events
  • Coordinate the activities of the administrative partners in the department optimizing the efficiency of support and providing opportunities for personal and professional development
  • Coordinate onsite and offsite meeting planning including conference room reservations, meeting setup and implementation (including technology), and vendor management.
  • Meeting implementation may include, but not be limited to, managing invites, coordinating presentation content and handouts, recording meeting notes, action items, and audio, scheduling and launching online content, facilitating online questions from attendees during meetings, troubleshooting technical and logistical issues, and organizing follow up activities.
  • Manage complex business travel logistics and ensure leader has necessary documentation for travel (international and domestic)
  • Process invoices and expense reports and reconcile departmental expenses according to the travel and expense (T&E) policy; resolve discrepancies
  • Manage multiple paper and electronic documents, and communication including composing, modifying, proofreading, or disseminating (e.g. memos/letters, emails, reports, PowerPoint presentations, SharePoint updates, surveys, organizational charts, or records management)
  • Participate in department projects and tasks including training and team meetings
  • Support the onboarding and departure process for department team members

You Have:

  • 5+ years of experience as an Executive Assistant, supporting Senior Management
  • C-Suite experience is a plus
  • Bachelor’s degree or equivalent experience
  • An anticipatory approach, and experience managing complex administrative details and determining the best approach/action to use in non-routine situations
  • Worked with detailed knowledge of business operations, organizations, and relationships involved at top management levels
  • Gain a thoughtful understanding of the department and appropriate Company policies, procedures, and operations
  • 3+ years of experience improving operational efficiency
