  • Coordinate domestic travel logistics and manage expense reporting using Concur
  • Support approvals and tracking of team expenses
  • Assist with planning and execution of events, including those that may occur outside standard business hours
  • Serve as a reliable point of contact, ensuring timely communication and responsiveness across stakeholders
  • Maintain a high level of organization and attention to detail across all administrative tasks
  • Support meeting preparation and logistics; may sit in on meetings to assist with coordination and follow-ups
  • Interact professionally in environments where podcast hosts, guests, or talent may be present
  • Handle confidential information with discretion and professionalism

Skills and Qualifications:

  • Strong experience in executive support, particularly with heavy calendar management
  • Excellent communication skills with a responsive and proactive approach
  • Highly organized with strong attention to detail
  • Ability to manage multiple priorities in a fast-paced environment
  • Comfortable working in an entertainment/media environment, including exposure to live-streamed or potentially sensitive content
  • Experience with travel coordination and expense management (Concur preferred)
  • Professional demeanor with the ability to interact appropriately with talent or high-profile individuals
  • Flexible and willing to support events outside of standard work hours
  • Easy-going personality with a collaborative and team-oriented mindset
  • Interest in learning, growing, and potentially gaining exposure to content or talent development

Preferred Qualifications:

  • A year or 2 of experience in coordinating with talent agencies and working with talents
  • Experience supporting teams in entertainment, media, or production environments
  • Interest in event coordination or content-related work (while maintaining primary administrative responsibilities)
