We are seeking an Executive Assistant on a contract basis to support two leaders. This role is a hybrid setup (3 days onsite, 2 days remote/week) in Mountain View, CA. Anchor days Tue/Wed/Thur, onsite hours 8 am-4 pm or 9 am-5 pm.
Responsibilities:
- Provides support and assistance to executives to ensure effective use of time and productive interactions with staff and the public.
- Handles a wide range of administrative and executive support-related tasks involving the clerical, administrative function, research, and management roles.
- Responsible for schedule management, office management, communication liaison, information preparation, company records management, data analysis, and representing the executive to others.
- Handles confidential information and communications.
- Full comprehension of the company's operation and procedures.
- May also be responsible for training and supervising lower-level clerical staff.
- Uses discretion and judgement, and knowledge of the organization to facilitate the executive's activities.
Skills and Qualifications:
- Minimum 3-5 years of experience as an Executive Assistant, with a proven track record of supporting high-level executives.
- Highly proactive, with the ability to anticipate needs and effectively manage both upward and downward communication to ensure timely and accurate delivery of tasks.
- Trustworthy with demonstrated ability to always exhibit a high degree of confidentiality and integrity and exercise excellent judgment.
- Collaborative team player who enhances team performance and focuses on overall organizational success.
- Professionalism, work ethic, and flexibility.
- Skilled at managing multiple priorities in a dynamic environment while maintaining composure and efficiency.
- Excellent verbal and written communication skills include the ability to communicate with all levels of the organization.
- Advanced proficiency in Outlook calendar management and expert-level knowledge of Windows desktop applications, Microsoft Office, and Google Suite/Workspace.
- Exceptional time management abilities, including the capacity to prioritize tasks and work independently in a fast-paced environment.
- Demonstrates adaptability and enthusiasm for personal growth and new challenges.
