We are seeking an Executive Assistant on a contract basis to support two leaders. This role is a hybrid setup (3 days onsite, 2 days remote/week) in Mountain View, CA.



Responsibilities:

  • Manage multiple directors' complex and detailed calendars
  • Travel coordination and arrangements
  • Partner across organizational boundaries to deliver outcomes with other EABPs and business partners
  • Plan and support meetings, events/offsites, and team motivation
  • Possess a high degree of initiative to take independent action and be able to always exercise proper judgment
  • Provide a timely response to emails and Slack messages
  • Handle multiple tasks while being flexible, as priorities and focus can change rapidly
  • Event planning to include support for large meetings, offsites, and team motivation events


Skills and Qualifications:

  • Minimum of 5 years of experience at the executive administrative level, preferably supporting senior leadership
  • Expert in G Suite (Google Calendar, Gmail) and Microsoft Office applications
  • Advanced calendar management skills across Google Calendar and Outlook
  • Proven ability to provide timely responses via email, Slack, and other communication tools
  • Comfortable managing ambiguity and making last-minute adjustments
  • Experience in working across multiple organizations and with diverse stakeholders
  • Strong self-starter with the ability to operate independently and shift quickly between tasks
  • Creative problem solver focused on achieving “win-win” solutions
  • Energized by challenges and fast-paced environments
