We are seeking an Executive Assistant on a contract basis to help support our Customer's business needs. This role is hybrid (3 days on-site and 2 days remote/week) in Mountain View, CA.
Responsibilities:
- Provide executive administrative support to senior leaders, ensuring effective time management and productive interactions
- Manage complex calendars, including scheduling meetings, appointments, and travel arrangements
- Handle internal and external communications on behalf of executives, including email and messaging platforms
- Prepare reports, presentations, and other documentation as requested
- Organize and coordinate meetings, conferences, and team events
- Track and manage executive expenses, process expense reports, and support budgeting activities
- Provide project support to ensure initiatives are completed on time and within scope
- Act as a liaison between executives and internal and external stakeholders
- Maintain company records, prepare information, and support data analysis as needed
- Handle confidential information with discretion and sound judgment
- Support office management activities and executive-related administrative functions
- Represent executives professionally in interactions with staff and external partners
- Support training and supervision of junior administrative staff when required
- Anticipate executive needs and proactively manage priorities and deliverables
- Coordinate closely with other executive assistants to support aligned workflows
Skills and Qualifications:
- Minimum of 3 years of experience providing executive-level administrative support to multiple leaders
- Advanced proficiency in Outlook calendar management
- Expert knowledge of Microsoft Office, including Word, Excel, and PowerPoint
- Proficiency with Google Workspace, including Docs, Sheets, and Slides
- Experience using Box or similar document management tools
- Strong communication skills with the ability to partner across functional groups
- Strong coordination and organizational skills with the ability to manage competing priorities
- Ability to anticipate needs and adapt quickly in a fast-paced environment
- Proven time management and multitasking abilities with limited supervision
- Strong interpersonal and customer service skills with a professional and respectful approach
- Excellent verbal and written communication skills across all organizational levels
- Ability to identify business issues and coordinate responses with key stakeholders
- Experience supporting executives in fast-paced environments while delivering high service levels
Preferred:
- Familiarity with Concur or similar expense management tools
