We are seeking an Executive Assistant on a contract basis to help support our Customer's business needs. This role is hybrid (3 days on-site and 2 days remote/week) in Mountain View, CA.



Responsibilities:

  • Provide executive administrative support to senior leaders, ensuring effective time management and productive interactions
  • Manage complex calendars, including scheduling meetings, appointments, and travel arrangements
  • Handle internal and external communications on behalf of executives, including email and messaging platforms
  • Prepare reports, presentations, and other documentation as requested
  • Organize and coordinate meetings, conferences, and team events
  • Track and manage executive expenses, process expense reports, and support budgeting activities
  • Provide project support to ensure initiatives are completed on time and within scope
  • Act as a liaison between executives and internal and external stakeholders
  • Maintain company records, prepare information, and support data analysis as needed
  • Handle confidential information with discretion and sound judgment
  • Support office management activities and executive-related administrative functions
  • Represent executives professionally in interactions with staff and external partners
  • Support training and supervision of junior administrative staff when required
  • Anticipate executive needs and proactively manage priorities and deliverables
  • Coordinate closely with other executive assistants to support aligned workflows


Skills and Qualifications:

  • Minimum of 3 years of experience providing executive-level administrative support to multiple leaders
  • Advanced proficiency in Outlook calendar management
  • Expert knowledge of Microsoft Office, including Word, Excel, and PowerPoint
  • Proficiency with Google Workspace, including Docs, Sheets, and Slides
  • Experience using Box or similar document management tools
  • Strong communication skills with the ability to partner across functional groups
  • Strong coordination and organizational skills with the ability to manage competing priorities
  • Ability to anticipate needs and adapt quickly in a fast-paced environment
  • Proven time management and multitasking abilities with limited supervision
  • Strong interpersonal and customer service skills with a professional and respectful approach
  • Excellent verbal and written communication skills across all organizational levels
  • Ability to identify business issues and coordinate responses with key stakeholders
  • Experience supporting executives in fast-paced environments while delivering high service levels

Preferred:

  • Familiarity with Concur or similar expense management tools
