We are seeking an Executive Assistant on a contract basis to help support our Customer's business needs. This role is hybrid (3 days on-site and 2 days remote/week) in Mountain View, CA.
Responsibilities:
- Provide high-level administrative and executive support to ensure effective time management and productive interactions
- Manage complex executive calendars, including scheduling meetings, appointments, and travel arrangements
- Serve as a communication liaison, handling internal and external communications on behalf of executives
- Prepare reports, presentations, and briefing materials as requested
- Coordinate and support office operations and executive-related administrative functions
- Organize and manage events such as meetings, conferences, and team-building activities
- Track and manage executive expenses, including expense reporting and budget support
- Support project coordination and execution to ensure timely and accurate completion
- Act as a liaison between executives and internal and external stakeholders
- Manage company records, information preparation, and data analysis
- Handle confidential information with discretion, professionalism, and sensitivity
- Represent executives to staff and external parties using sound judgment and organizational knowledge
- Support training or oversight of junior administrative staff as needed
Skills and Qualifications:
- Minimum of 3+ years of experience providing executive-level administrative support to multiple leaders
- Advanced proficiency in Outlook calendar management
- Expert-level proficiency with Microsoft Office applications, including Word, Excel, and PowerPoint
- Strong proficiency with Google Workspace tools, including Docs, Sheets, and Slides
- Experience using collaboration and file-sharing tools such as Slack and Box
- Strong organizational, project management, and problem-solving skills
- Excellent time management skills with the ability to prioritize and multitask in fast-paced environments
- Proactive mindset with the ability to anticipate needs and manage up and downstream dependencies
- Strong interpersonal and customer service skills with the ability to handle sensitive matters respectfully and professionally
- Excellent written and verbal communication skills with the ability to engage all levels of the organization
- Ability to identify business issues and coordinate appropriate responses with key stakeholders
- Ability to work independently with limited supervision while maintaining high service standards
Preferred Qualifications:
- Experience using expense management systems such as Concur
- Experience supporting executives in fast-paced or high-growth environments
