Job description

Our Customer is an American computer and consumer electronics company famous for creating phones and computers. As one of the largest companies globally with a market cap of over 2 trillion dollars, it is a major leader in the space. Although this company was founded in 1976 it has transformed how we connect and communicate worldwide.

We are seeking an Executive Assistant on a contract basis to support their business needs. This role is onsite in Culver City, CA.

This person will support two executives with day to day administrative support, including calendar management, expenses, meeting scheduling, travel and more. The role also includes working across the Music and Podcast teams to support key content priorities, compile and communicate key insights, and support the broader music and podcast marketing team in asset distribution, comms, logistics and more.

What You'll Do:

  • Administrative support for two services executives including calendar support, expenses, travel, team logistics, and more
  • Collect, consolidate, and organize assets to be shared with both internal and external approvers for sign-off
  • Be the point of contact for any team operational needs
  • Manage meeting notes for key marketing meetings
  • Responsible for coordinating assets across marketing channels, as well as working with artist marketing to ensure that partners and artists are actively (and correctly) marketing Music
  • This role will interface with business teams, other admins, and executives
  • Manage priority calendars
  • Manage delivery timelines across the team
  • Manage code creation tool for music-endemic programs
  • Create tracking links for marketing campaign reporting

Must-haves:
  • A Bachelor's degree
  • Minimum of 2 years of experience working in support roles in the entertainment and/or marketing space
  • Excellent organization skills, acute attention to detail, ability to handle multiple tasks in a fast-paced and time sensitive environment
  • Consistent track record of meeting deadlines and taking initiative to make confident and well-informed decisions
  • Possess a “can-do” attitude for all situations, no task too big or too small to handle
  • Excellent written and verbal interpersonal skills, and strong sense of professionalism
  • Ability to influence others; handle conflict appropriately, know when to delegate issues upward, and when to apply common sense
  • Entertainment marketing experience a plus
  • Experience on-boarding new employees and training new team members
  • Direct experience handling sensitive and confidential information with integrity, discretion, and upmost secrecy
  • Ability to manage calendars, schedule meetings, arrange travel, and submit expense reports
  • Ability to prioritize, learn quickly, and be flexible
  • You are passionate about entertainment
  • You work well under pressure, are results-oriented, upbeat, and focused, with a strong passion to learn and succeed
