We are seeking an Executive Assistant on a contract basis to support a VP and a Director.
The person in this role will need to be a masterful problem-solver and an organizational force given complex & heavy calendaring. This role requires the ability to anticipate issues before they arise, to proactively recommend creative solutions to problems, and to be flexible and adaptable to changing business needs. Additionally, the ideal candidate will have sound judgment, exceptional communication skills, and will be resourceful in building relationships across the larger ecosystem.
This role is on-site in NYC.
Responsibilities:
- Coordinate internal and external meetings for executive leadership
- Manage complex executive calendars, including scheduling, prioritization, and time-zone coordination
- Prepare and process expense reports and purchase requisitions
- Coordinate domestic and international travel arrangements and logistics
- Organize strategic events, team meetings, and all-hands sessions
- Collaborate closely with executive office personnel to maintain operational processes and information flow
- Build and maintain strong cross-functional relationships across departments
- Partner closely with team leaders, executive assistants, and operational stakeholders
- Communicate organizational and company updates to administrative teams and cross-functional partners
- Support strategic projects and operational initiatives across multiple teams
- Manage logistics and coordination activities across stakeholders and departments
- Maintain confidentiality and discretion in handling sensitive information
- Anticipate executive and organizational needs proactively and adapt to changing priorities
- Handle last-minute scheduling changes and competing priorities with professionalism and composure
Skills and Qualifications:
- Bachelor’s degree required
- 5-7 years of experience providing administrative support to executives
- 5-7 years of experience managing executive calendars, travel logistics, and expense reporting
- Strong judgment and decision-making skills, including prioritization and escalation management
- Advanced calendar management skills with expertise in Google Calendar and time-zone coordination
- Strong discretion and ability to handle confidential information professionally
- Excellent written and verbal communication skills
- Strong stakeholder management skills with the ability to interact effectively with executives, partners, and administrative teams
- Ability to remain composed under pressure and manage competing priorities
- Highly proactive with the ability to anticipate needs and solve problems independently
- Strong organizational and multitasking abilities
- Proficiency with Google Workspace, Gmail, Google Chat, Zoom, Microsoft Office, and collaboration tools
- Experience managing multiple projects and shifting priorities simultaneously
- Strong relationship-building and cross-functional collaboration skills
- Ability to work independently while seeking feedback and alignment when appropriate
Preferred Qualifications:
- Experience supporting executives within large technology organizations
- Experience supporting executive offices alongside administrative and operations teams
- Experience driving strategic projects and managing workstreams end-to-end
- Experience with data and reporting tools
- Experience supporting partnerships, business development, or sales organizations
- Experience coordinating across multiple executive assistants
- Event planning experience
- Experience building and influencing cross-functional stakeholder relationships
