Job description

We are seeking a Project Coordinator on a contract basis who will support the Customer’s business needs. This role is hybrid (3 days on-site and 2 days remote/week) in Atlanta, GA.


This position will support two Vice Presidents within Marketing.


NOTE: Candidates must have their own laptops; the customer is not providing laptops to contractors at this time



Responsibilities:

  • Schedule and manage executive calendars, including prioritizing meetings, resolving conflicts, and coordinating with internal and external senior leaders
  • Handle key communications across the leadership team for the supported executive
  • Organize and coordinate travel arrangements such as authorizations, flights, hotel bookings, visas, airport transfers, and expense reporting, ensuring compliance with travel policy
  • Arrange meetings by coordinating agendas, compiling presentations and required materials, and handling logistics such as conference registrations, room reservations, local travel, and hospitality for senior management and guests
  • Perform clerical tasks, including emailing, scanning, copying, filing, and data entry
  • Collect and open mail and emails as appropriate
  • Complete administrative forms such as purchase requisitions, purchase orders, shipping requests, travel expense reports, and payment requests
  • Represent the executive’s office with professionalism, confidentiality, and respect across all organizational levels and with external partners
  • Provide additional support and perform other duties as required


Qualifications:

  • High school diploma required; some college coursework in business, communications, or related fields preferred
  • 3–5 years of experience in a high-level administrative support role preferred
  • Strong problem-solving ability and resourcefulness
  • Experience coordinating projects
  • Intermediate proficiency with Microsoft Office applications, including Word, Excel, PowerPoint, Teams, and Outlook
  • Strong attention to detail and excellent interpersonal and communication skills
  • Effective time management and organizational skills, with the ability to meet deadlines
  • Experience managing travel arrangements and schedules for management
