We are seeking a Project Coordinator on a contract basis who will support the Customer’s business needs. This role is hybrid (3 days on-site and 2 days remote/week) in Atlanta, GA.
This position will support two Vice Presidents within Marketing.
NOTE: Candidates must have their own laptops; the customer is not providing laptops to contractors at this time
Responsibilities:
- Schedule and manage executive calendars, including prioritizing meetings, resolving conflicts, and coordinating with internal and external senior leaders
- Handle key communications across the leadership team for the supported executive
- Organize and coordinate travel arrangements such as authorizations, flights, hotel bookings, visas, airport transfers, and expense reporting, ensuring compliance with travel policy
- Arrange meetings by coordinating agendas, compiling presentations and required materials, and handling logistics such as conference registrations, room reservations, local travel, and hospitality for senior management and guests
- Perform clerical tasks, including emailing, scanning, copying, filing, and data entry
- Collect and open mail and emails as appropriate
- Complete administrative forms such as purchase requisitions, purchase orders, shipping requests, travel expense reports, and payment requests
- Represent the executive’s office with professionalism, confidentiality, and respect across all organizational levels and with external partners
- Provide additional support and perform other duties as required
Qualifications:
- High school diploma required; some college coursework in business, communications, or related fields preferred
- 3–5 years of experience in a high-level administrative support role preferred
- Strong problem-solving ability and resourcefulness
- Experience coordinating projects
- Intermediate proficiency with Microsoft Office applications, including Word, Excel, PowerPoint, Teams, and Outlook
- Strong attention to detail and excellent interpersonal and communication skills
- Effective time management and organizational skills, with the ability to meet deadlines
- Experience managing travel arrangements and schedules for management
