Job description
The Mom Project is excited to partner with our client, a boutique capital advisory firm, who is looking to hire an ideal person who is part assistant, part operator, part project manager. Our client needs someone to support a CEO of growing businesses. You will be the first assistant hire, so many of the processes are not completely fleshed out. It will be a lot of on the job learning, as the executive learns to work with an assistant. Ability to meet in person as needed, especially early on. 20 to 25 hours per week and potential to go full time.
Core Responsibilities
- Project Management
- Work to Identify Projects and Support in the execution of Projects
- Manage Administrative Tasks
- Arrange meetings
- Inbox Management
- Manage the Inbox for Visibility and Priority
- Develop processes around Folders and Tagging
- Stay on top of replies of sent messages
- Communication Management
- Work to develop a system to centralize communication from Email, Chat, Phone, Video and Calling.
- Note Taking Management
- Extensive Note Taking across physical paper, digital and email
- Develop a system to create and track notes
- Leverage Use of AI Tools
- Systems & Processes
- Work with Executive to Identify, Define and Develop Operating Procedures for you and the team.
- Document SOPs and Policies into a tool like Notion
- Personal Services
- Research Services and Vendors for Appointments and Quoting
- Book Travel
- Execution
- Participate in some areas of execution around document gathering for example
- Social Media Management
- Ability to support financial and marketing teams
- Ability to produce reports as needed
Qualifications / Skills
- Extremely Organized
- Exemplary planning and time management skills
- High level verbal and written communications skills
- Comfortable with Fast Moving, Varying World
- Ability to Identify Digital tools and AI assistants to enhance productivity
- At least 10 years of experience in Project Management, Operations and/or Executive Assistant
