We are seeking an Executive Assistant on a contract basis to support our Customer's business needs. This role is hybrid (3 days onsite, 2 days remote/week) in San Diego, CA.



Responsibilities:

  • Provides support and assistance to executives to ensure effective use of time and productive interactions with staff and the public.
  • Handles a wide range of administrative and executive support-related tasks involving the clerical, administrative function, research, and management roles.
  • Schedules management, office management, communication liaison, information preparation, company records management, data analysis, and representing the executive to others. Handles confidential information and communications.
  • Full comprehension of the company's operation and procedures.
  • May also be responsible for training and supervising lower-level clerical staff.
  • Uses discretion and judgement, and knowledge of the organization to facilitate the executive's activities.
  • Proactive management of heavy and complex calendars and scheduling to support teams based on a thorough understanding of business priorities.
  • Travel coordination and arrangements.
  • Partner across organizational boundaries to deliver outcomes with other Executive Assistants and business partners.
  • Ability to juggle multiple priorities and work streams while remaining calm and composed.
  • Plan, coordinate, and ensure schedule is followed and appropriately prioritized, informing of upcoming commitments and responsibilities, following up appropriately.
  • Possess a high degree of initiative to take independent action and be able to always exercise proper judgment.
  • Be trustworthy and able to exhibit a high degree of confidentiality and integrity.
  • Managing and reconciling expense reports on behalf of the leaders.
  • Be approachable and eager to provide counsel and direction to team members/peers.


Skills and Qualifications:

  • Verbal and written communication skills
  • Ability to anticipate needs and stay connected with the DIRs
  • Strong calendar management skills
  • Expert-level knowledge of Microsoft Office (Word, Excel, PowerPoint, Outlook), Google Experience organizing off-site meetings (taking MoM and follow-ups)
