We are seeking a Executive Assistant V on a contract basis to support our Customer’s business needs.

This role is hybrid in San Diego, CA - 3 full days in office per week (typically Tues - Thurs).


Work Schedule: Monday - Friday 8am - 5pm


Duties:

Calendar Management: Manage complex executive calendars, resolve

scheduling conflicts, coordinate across teams, other executives and EABPs by

prioritizing schedules and qualifying requests with both internal and external

partners.

Events & Meetings: Plan and execute internal/external meetings, team

offsites, agency meetings. Including but not limited to: venue scouting, food,

beverage, team building activities, agenda preparation, coordination with AV

and facilities.

Leadership & Discretion: Act as a trusted liaison and organizational "eyes and

ears," maintaining confidentiality and composure.

Collaboration & Mindset: Serve as a dependable EA team player with a

positive, can do attitude; equally ready to tackle high-level strategy or small

administrative tasks.

Travel & Expenses: Coordinate seamless travel logistics and manage timely,

policy-compliant expense reporting.

Business Partnership: Serve as an effective business partner, leveraging deep

knowledge of the business and leaders to make informed and confident

recommendations and decisions.

Organization & Detail: Demonstrate exceptional organization and strong

attention to detail in managing competing priorities and daily deliverables across multiple leaders.


Qualifications:

  • Provides support and assistance to executives that ensure effective use of time and productive interactions with staff and the public.
  • Handles a wide range of administrative and executive support-related tasks involving the clerical, administrative function, research, and management roles.
  • Responsible for schedule management, office management, communication liaison, information preparation, company records management, data analysis, and representing the executive to others.
  • Handles confidential information and communications.
  • Full comprehension of company's operation and procedures.
  • May also be responsible for training and supervising lower level clerical staff.
  • Uses discretion and judgement and knowledge of organization to facilitate the executive's activities.
