1099/Freelance

100% Remote

20 hours/week

The Administrative Assistant & Project Management Support will play a key role in maintaining smooth business operations, managing administrative systems, and assisting with internal projects.


Key Responsibilities

  • Provide administrative and project coordination support to the CEO and leadership team.
  • Manage calendars, emails, scheduling, and internal communication.
  • Organize files, documents, and project timelines across multiple initiatives.
  • Help track vendor and client communications, contracts, and invoices.
  • Support onboarding for wellness events, staff scheduling, and supply logistics.
  • Maintain digital systems for efficiency, including workflow automation and task tracking.
  • Assist with client follow-up, proposals, and simple report generation.
  • Coordinate with marketing or design team members when needed for event materials or updates.

Preferred Skills & Tools

  • Project management tools: Asana, Trello, or ClickUp
  • CRM or client management platforms: HoneyBook, Dubsado, or HubSpot
  • Document sharing & automation: Google Workspace, Notion, Airtable, or Monday.com
  • Communication tools: Slack, Zoom, or Microsoft Teams
  • Basic marketing or website tools: Canva, Wix, or Mailchimp (a plus)

Qualifications

  • 2–5 years of experience as an Administrative Assistant, Project Coordinator, or Operations Support Specialist.
  • Strong attention to detail and ability to manage multiple projects.
  • Excellent written and verbal communication skills.
  • Highly organized, self-motivated, and comfortable working independently.
  • Ability to anticipate needs, solve problems and take initiative.
  • Passion or interest in health, wellness, or corporate wellbeing preferred.
