Job description

The Mom Project is excited to partner with a full services CPA firm headquartered in sunny St. George, Utah. The partners have over 30 years of experience working with enterprises big and small, bringing big-firm experience and value at small-firm cost.

Role Description

This is a full-time remote role for an Experienced Administrative Assistant. We are looking for a proactive Administrative Assistant who will play a pivotal role in supporting our professional services partners. The ideal candidate will possess excellent client-facing skills, attention to detail, and a knack for managing projects efficiently. In this role, you will work closely with our clients and internal teams to ensure the smooth operation of our projects and administrative functions.

***Experience in another CPA/Legal or professional services firm is a huge plus***

Key Responsibilities:

Client Interaction:

• Act as a point of contact for clients, ensuring their needs are met and inquiries are addressed promptly and professionally.

• Maintain positive client relationships through effective communication and exceptional service.

Project Support:

• Assist in project management by helping to develop and manage our recurring task tracking system, tracking deadlines, and ensuring project milestones are met.

• Prepare project reports, presentations, and documents as required.

• Collaborate with team members to prioritize and manage project tasks effectively.

Administrative Duties:

• Manage email, calendars and appointments for two partners.

• Organize and maintain project files, documentation, and records as needed.

• Support accounts receivable collections

Data Management:

• Maintain accurate and up-to-date client and project databases.

• Generate reports and assist in data analysis as needed.

Meeting Coordination:

• Schedule and coordinate internal and external meetings, including conference calls and client meetings.

• Prepare meeting agendas, take minutes, and distribute follow-up action items as needed.

Qualifications

• Bachelor's degree or higher is preferred but not required.

• Proven experience as an administrative assistant, virtual assistant or office admin assistant

• Experience working for a professional services firm (especially a CPA firm) a huge plus.

• Strong working knowledge of Microsoft Office and Google Suite

• Excellent at multitasking and able to handle stressful and/or time-sensitive situations.

• Excellent time management and organizational skills with a strong attention to detail

• Excellent verbal and written communication skills

• Experience with project management software is preferred

• Able to work independently with minimal supervision

• Experience in Accounting, Tax or Finance preferred but not required

• Ability to adapt and learn new skills quickly
