Job description

Brings a positive attitude to work daily because they enjoy event planning and genuinely want to make a positive difference in the world. Must have registration and event experience working with high profile global attendees.

Program Planning, Administration and Event Management

  1. Oversee the coordination of registration and the exhibit / showcase experience. This includes supporting the Innovators Showcase Area, Meet the Innovators Forum, event registration, and collaborating with winners from around the world.
  2. Partner with the COO to make sure there is a registration plan and it's tested to make sure it runs smoothly.
  3. Survey attendees after the event to determine areas of improvement and growth
  4. Knowledge of Regfox for registration, Hubspot for marketing is very important.
  5. Generate complex seating chart and exhibitor docs for event.
  6. Generate new ideas through researching other events and industry partners.

Speaker Outreach

  1. Experience working with committees, team members and your personal network to compile a list of potential speakers.
  2. Manage Gala Trophy coordination
  3. Follow-up with speakers and follow-up with their admins to schedule rehearsal time.
  4. Genuinely excited about innovation and finding industry experts to present.

Team and Vendor Support

  1. Serve as a key liaison for the COO by providing regular follow up and support.
  2. Support weekly team meetings and timely update meetings.

Speaker Outreach

  1. Coordinate, plan and build decks for the quarterly Committee meetings, Gala, Roundtable and annual speaker line up.

Team and Vendor Support

  1. Serve as a key liaison for the COO by providing regular follow up and support.
  2. Review agreements and find cost effective solutions to improve all of the events.
  3. Collaborate on a regular basis with the team about the needs to achieve the company goals
  4. Support weekly team meetings and timely update meetings with vendors and the Steering Committee.
  5. Strong communications skills—writing, verbal and digital.
  6. Excellent organizational and management skills. Ability to organize one’s work well and manage distractions and multiple demands.
  7. Proven ability to work independently.
  8. Demonstrated competence in working with diverse groups.
  9. Excellent interpersonal skills with the ability to work cooperatively and collegially in team-oriented projects.
  10. Handles stressful situations well and is passionate and hungry to make a difference.
