We are seeking a Facilities Coordinator on a contract basis to help support their ongoing business needs. This role is on-site in Atlanta, GA.
The Facilities Coordinator ensures organizational excellence by overseeing mailroom operations while supporting and coordinating the performance of a small team of multi-skilled operatives. This role involves developing strong working relationships with key stakeholders, landlords, managing agents, and facilities vendors. The individual is responsible for ensuring all tasks are completed accurately, efficiently, and in compliance with service standards, while providing superior customer service.
Responsibilities:
Mailroom Oversight
- Supervise daily mail sorting, distribution, and delivery operations.
- Manage incoming and outgoing mail, packages, and courier services.
- Coordinate with postal services, FedEx, UPS, and other delivery providers.
- Maintain accurate mail logs and delivery tracking systems.
- Handle certified mail, registered mail, and signature-required deliveries.
- Manage mail forwarding for relocated employees.
- Establish efficient workflow procedures for mailroom staff.
- Implement security protocols for sensitive mail and packages.
Facilities Coordination
- Provide support for, monitor performance of, and coordinate a small team of multi-skilled operatives.
- Assist in the management of contractors on-site to ensure adherence to standards.
- Support procurement of vendors and services as needed.
- Manage financial processes, including purchase orders, accrual reports, and finance trackers.
- Conduct site inspections, assessments, and audits, ensuring safety and building procedures are followed.
- Assist with the implementation of property risk management, disaster recovery, and business continuity plans.
- Maintain premises in neat and functional condition at all times.
- Support management with reports and projects, ensuring KPI and SLA targets are achieved.
- Follow escalation and incident reporting procedures.
Qualifications:
- Bachelor’s degree in a related field preferred.
- Minimum 1 year of experience in commercial real estate, property management, or facilities administration.
- Strong understanding of Microsoft Word, Excel, and Outlook.
- Clean driving record required.
- Ability to work both independently and collaboratively as part of a team.
- Self-motivated with a confident and energetic attitude.
- Excellent verbal and written communication skills.
- Strong organizational and problem-solving skills.
- Ability to perform under pressure with flexibility in a fast-paced environment.
