We are seeking a Facilities Coordinator on a contract basis to help support their ongoing business needs. This part-time (25 hours) role is on-site in Nashville, TN.
The Facilities Coordinator is responsible for supporting, monitoring, and coordinating a small team of multi-skilled operatives while maintaining strong working relationships with client stakeholders, landlords, managing agents, and facilities vendors. This role ensures all facilities-related tasks are completed accurately, efficiently, and in compliance with established standards.
Responsibilities:
- Provide support for, monitor the performance of, and coordinate a small team of multi-skilled operatives.
- Develop close working relationships with client stakeholders, landlords, managing agents, and facilities vendors.
- Assist in the management of contractors on-site to ensure performance standards are met.
- Support procurement of vendors and services as required.
- Assist in financial processes, ensuring timely and accurate completion of requirements.
- Manage purchase orders promptly and accurately in the financial management platform.
- Assist with monthly accrual reports and monitoring of finance trackers.
- Conduct site inspections, assessments, and audits, and carry out building and safety procedures.
- Support the implementation of property risk management programs and best practice operations.
- Maintain premises in neat and good working condition at all times.
- Support implementation and monitoring of disaster recovery and business continuity plans.
- Follow established escalation and incident reporting procedures.
- Contribute to management reports and special projects as required.
- Achieve defined Key Performance Indicators (KPI) and Service Level Agreement (SLA) targets.
Qualifications
- Bachelor’s degree in a related field.
- Strong proficiency in Microsoft Word, Excel, and Outlook.
- Clean driving record required.
- Ability to work independently and collaboratively as part of a team.
- Self-motivated with a confident, energetic, and professional attitude.
- Excellent verbal and written communication skills.
- Ability to remain flexible and perform well under pressure.
