We are seeking an Facilities Coordinator on a contract basis to help support their ongoing business needs. This role is on-site in Woburn, MA.


The Facilities Coordinator is responsible for supporting, monitoring, and coordinating a small team of multi-skilled operatives while ensuring that building systems and vendor services run smoothly. This role requires strong relationship management with client stakeholders, landlords, managing agents, and facilities vendors. The ideal candidate has working knowledge of mechanical building systems (HVAC, pre-filters, utilities, electrical, plumbing, etc.) and ensures that facilities remain safe, efficient, and well-maintained.



Responsibilities:

  • Provide day-to-day support for, monitor the performance of, and coordinate a small team of operatives.
  • Build strong working relationships with client stakeholders, landlords, managing agents, and vendors.
  • Assist in managing contractors on site to ensure service quality and compliance with standards.
  • Support procurement of vendors and services as needed.
  • Manage financial processes, including prompt handling of purchase orders, monthly accruals, and finance trackers.
  • Conduct site inspections, assessments, audits, and safety checks; oversee building procedures and performance measures.
  • Support implementation of property risk management, disaster recovery, and business continuity plans.
  • Maintain premises in neat, safe, and functional condition at all times.
  • Follow escalation and incident reporting procedures.
  • Assist in preparing regular management reports and projects.
  • Ensure achievement of Key Performance Indicators (KPIs) and Service Level Agreements (SLAs).


Skills and Qualifications:

  • Bachelor’s degree in a related field.
  • Proficiency with Microsoft Word, Excel, and Outlook.
  • Familiarity with vendor management concepts
  • Strong interpersonal, verbal, and written communication skills.
  • Ability to work independently and collaboratively in a team.
  • Highly organized, detail-oriented, and adaptable under pressure.
  • Self-motivated, confident, and energetic attitude.
  • Spare parts planning is preferred
  • Clean driving record required.
