We are seeking a Facilities Coordinator on a contract basis to help support their ongoing business needs. This role is on-site in Woburn, MA.


The Facilities Coordinator provides support, monitors performance, and coordinates a small team of multi-skilled operatives. This role requires building strong working relationships with stakeholders, landlords, managing agents, and facilities vendors. The individual ensures that all tasks are completed accurately and on time, supporting financial, operational, and risk management processes.



Responsibilities:

  • Provide support for, monitor the performance of, and coordinate a small team of operatives.
  • Develop close working relationships with client stakeholders, landlords, managing agents, and vendors.
  • Assist in the management of contractors on-site to ensure adherence to required standards.
  • Support vendor and service procurement processes as needed.
  • Assist with financial processes, including timely and accurate purchase order management, monthly accrual reporting, and finance tracker monitoring.
  • Conduct site inspections, audits, assessments, and carry out safety and building procedures.
  • Support the implementation of property risk management programs and industry best practices.
  • Maintain premises in good working condition at all times.
  • Assist in implementing and monitoring disaster recovery and business continuity plans.
  • Follow established escalation and incident reporting procedures.
  • Prepare and support management reports and projects as required.
  • Ensure achievement of Key Performance Indicators (KPIs) and Service Level Agreement (SLA) targets.

Qualifications

  • Bachelor’s degree in a related field required.
  • Ability to work independently and collaboratively.
  • Self-motivated with a confident and energetic attitude.
  • Strong verbal and written communication skills.
  • Flexibility and ability to work well under pressure.
  • Proficiency in Microsoft Word, Excel, and Outlook.
  • Clean driving record required.
