Job description

Position Title: Finance Administrator (Contract)



Position Overview

The Finance Administrator will support the day-to-day financial operations of the company, with a focus on bookkeeping, invoice processing, expense tracking, and basic financial reporting. This role involves using Zoho Books and related systems to manage accounts payable and receivable, ensure the accuracy of records, and maintain strong financial hygiene in a small, professional service firm environment.


Responsibilities

1. Bookkeeping & Transaction Management

• Record, categorize, and reconcile financial transactions using Zoho Books.

• Process accounts payable and ensure timely payment to vendors.

• Prepare and send client invoices according to contract terms.

• Track accounts receivable and follow up on unpaid invoices.

• Support monthly bank reconciliations and transaction reviews.


2. Expense Management & Internal Controls

• Review, validate, and process employee expense reports.

• Maintain clear documentation for all financial transactions.

• Monitor recurring expenses and flag irregularities or inefficiencies.


3. Financial Reporting Support

• Generate basic financial reports (monthly P&L, cash flow summaries) for internal use.

• Assist with preparation of documentation for quarterly and year-end financial reviews with external accountant.

• Support audit or tax preparation requests as needed.


4. Process & System Maintenance

• Maintain and improve filing systems for financial records (digital and/or physical).

• Assist in identifying and implementing improvements in bookkeeping processes or tools.


Qualifications

· A bachelor’s degree in accounting or finance and with 5+ years of experience in accounting, audit, financial services, management consulting or combinations thereof.

· Demonstrated experience in financial oversight and management of financial matters, including an organization’s financial cycle including accounting, reporting, budgeting, and planning, for companies ideally in the professional services or not-for-profit industries. Experience with early stage and growth-oriented environments would be highly additive.

· Familiarity with Zoho or Justworks applications would be beneficial, but not required.
