Title: Financial Advisor Assistant
Ideally: Brokerage firm experience
Status: 6-month W2 contractor to start, with expectation to be ongoing if mutually agreed upon
Hourly Range: $23 - $25/hr, commensurate with experience. Will re-evaluate hourly rate when candidate is exceeding expectations
Location: In-Office <> Lisle, IL
Our client is a Financial Advisor out of Lisle, IL who is looking to add an experienced Financial Advisor Assistant to her team!
The Financial Advisor Assistant is responsible for conducting the smooth operation of the office and completing tasks that allow the Advisor to focus more time and energy on financial planning, client acquisition, and deepening existing client relationships.
The assistant performs administrative duties that are assigned by the Financial Advisor in daily business practices, including but not limited to: telephone coverage, greeting clients and guests by phone and in person, and coordination of client meetings. Most importantly, the Assistant allows the Advisor the assurance they need to know that their practice is being maintained and supported within compliance requirements and established guidelines.
Primary Responsibilities include:
• Assist financial advisor with daily activities, including maintaining calendars, preparing correspondence, and providing exemplary customer service.
• Has a working knowledge of RedTail CRM software.
• Review and maintain client information, including scanning and uploading all client documents to the back office using Docupace.
• Maintain existing client relationships through the processing of client requests, handling of client inquiries, and making sure key client/account information and documentation is up to date.
• Review client profile and account data and prepare client pre-meeting financial reports, spreadsheets, statements, forms, and compile other correspondence for Advisor meetings and appointments. Review of the client accounts to identify key data needed for review.
• Onboard new clients and client accounts, including the collection and submission of required documentation and client information.
• Submit paperwork to the different agencies via online portals, fax, or mail.
• Daily follow-up on progress of applications and all other submitted requests.
• Provide forms to clients via secure mail or email including clear and concise instructions on how the client will need to complete and return the paperwork securely.
• Maintain master list of contact information for all financial partners (companies holding outside assets), including website details and login credentials.
• Compile and send client tax documents to their CPAs.
• Maintain spreadsheet for tracking client Required Minimum Distributions (RMDs) and file relevant paperwork in the RMD Book.
• Track client’s Charitable Distributions/Gifts and prepare annual letters to be sent as client reminders.
• Identify clients who are due for an account review or information update and contact them to set up a meeting. This includes any clients with UTMA/UGMA accounts where the minor has reached the Age of Majority
• Assist Financial Advisor with trip planning by identifying prospects or clients in closeproximity to a specific destination, scheduling client appointments and preparing client materials
Skills needed:
• Minimum 3-5 years financial industry experience; 3-5 years office experience.
• Bachelor’s degree from fully accredited four-year institution preferred.
• Strong communication and interpersonal skills with an ability to adapt communication style to clients.
• Excellent written and verbal communication skills.
• Proficient in Microsoft Office, specifically Excel
• CRM experience is required with RedTail & Salesforce a plus.
• Experience with back office paperless processing software is preferred with Docupace experience a plus.
• Experience with clearing and custodial platforms is preferred with Schwab or Pershing a plus.
Schedule
• Full-time Monday to Friday 8:30am – 5:00pm
