Job description

Position Title: Full Charge Bookkeeper

Department: Accounting

Office Location: Eatontown, NJ

Status: Full-Time

Reports To: Business Operations Manager

Supervisory/Managerial: No

Essential Personnel: Yes

Position Summary:

This position utilizes and develops systems to account for all the financial transactions to ensure compliance within the department. The main function is to ensure day-to-day transactions are posted correctly and meet compliance requirements. This position will work with team members to create a cohesive environment and efficient work-flow processes. Handle escalated items. Develop and improve processes and training documentation to ensure all personnel are trained effectively and working in roles that relate to completed training. This position reports to the Business Operations Manager.

Job Requirements:

  • High School Diploma/GED, undergraduate in Accounting, preferred
  • At least 3 years related bookkeeping/accounting experience
  • At least 3 years managerial or supervisory experience
  • Experience working and leading a multidiscipline team
  • Expertise in multi-state sales and use tax collection and filings
  • Experience with reconciliations, bank rec, credit card, benefit premiums
  • Computer literacy including a comprehensive understanding of Microsoft Office, including Excel, CRM Database, SAGE/ERP, Pricing Programs.
  • Proficiency in Excel or Google Sheets

Skills and Experience:

  • Commercial Activity/Sales/Use Tax, accruals and filing, required
  • Monthly Closing, including prepaid reconciliations and expense accruals, required
  • Previous experience working with a manufacturing organization, preferred
  • Tech-savvy, proficient in Microsoft Applications, GSuite and ability to understand and custom designed software, required
  • Solution oriented, required
  • Experience with inventory and purchasing systems, preferred

Job Functions:

  • Process and oversee all transactions related to:
  • Sales Invoicing, Credit and Debit Memos, Adjustments
  • Accounts Payable, Receipt of Goods, Receipt of Invoice, Check Issuance
  • Accounts Receivable, Cash Receipts, Collections
  • Cash and Credit card reconciliation
  • File and update all items related to commercialized activity tax, sales tax and use tax
  • Setup and maintain cloud base software to store and catalog customer exempt and resale certificates
  • Maintain sales tax rates
  • File sales tax returns
  • Work directly with states on audits or notices
  • Oversee accuracy of Vendor Account Set up
  • Oversee credit approval and payment terms review
  • Review aging and credit hold and releases
  • Monthly closing of A/R and A/P
  • Completion of Bank Reconciliation
  • Monthly review of open items with outside accounting department
  • Journal Entries (including payroll)
  • Audit petty cash
  • Catalog prepaid expenses
  • Manage accrued expenses
  • Audit exchange accounts
  • Review fixed assets and depreciation schedule with accountant
  • Compile information/reports as requested by management
  • Projects, assignments and daily tasks as assigned by management
