Our Customer is an American multinational cybersecurity company with headquarters in Santa Clara, California. Their core products include advanced firewalls and cloud-based offerings that extend those firewalls to cover other aspects of security. They are the global cybersecurity leader who continually delivers innovation to enable secure digital transformation - even as the pace of change is accelerating,


We are seeking a Global Onboarding Specialist – Immigration & I-9 (Santa Clara, CA) on a contract basis to support our Customer’s business needs. This role will be on-site in Santa Clara, CA.


As a Work Authorization Onboarding Specialist, you will be a subject matter expert (SME) in Work Authorization and E-Verify. You will work in an exciting, dynamic, and challenging atmosphere with people who all share the same mission of providing the best in-class experience for the candidates and new hires. You will have the opportunity to interact cross-functionally with the GMI, Legal, and HR Ops teams across the globe.



Responsibilities:

  • Act as the SME in work authorization in the US; the company is looking to expand its work authorization programs to other countries in the near future
  • Train new team members on work authorization and continue to provide mentoring and coaching as new updates come in from USCIS and/or other agencies
  • Demonstrate excellence in managing complex I-9 cases and ensuring the team's work output is accurate and timely by pulling audit reports
  • Analyze documents and prepare I-9 as a subject matter expert
  • Oversee the status of I-9 cases through the utilization of technology
  • Be fluent with I-9 management and other reporting tools and technologies used to manage data and information
  • Engage, collaborate, and share knowledge with teams locally and regionally to ensure best practices
  • Ensure self and team follow documented firm standards and policy to mitigate risk and ensure regulatory, operational, and compliance
  • Support Welcome Day facilitation on rotation - 1-2x a month
  • Stationed at the Interview Center to support greeting interviewing candidates as needed


Skills and Qualifications:

  • Bachelor’s degree
  • Expertise in I-9 compliance and U.S. work authorization (including E-Verify) (must have)
  • Minimum 2 years of hands-on experience in work authorization/I-9 processes
  • Strong organizational skills with high attention to detail and confidentiality
  • Proficiency in Microsoft Office or Google Workspace tools
  • Demonstrates a high degree of integrity and maintains confidentiality
  • Flexible, yet highly organized, and able to adapt to shifting priorities, demands, and deadlines in a global, dynamic environment
  • Strong written and verbal communication skills
  • Attention to detail and a desire to achieve a high level of accuracy and productivity
  • Not afraid of using and learning with AI
