Job description
Job Title: HubSpot CRM Administrator & Sales Coordinator
Salary: $27-30/hour
Contract: This is a 1099, NOT W-2.
Location: 100 % Remote
Hours: 25 hours per week, 5 days per week; w/flexibility
We are partnering with a company that provides NCLEX Prep, specialty orientation, continuing education (CE), and certifications.
They are seeking a highly organized, detail-oriented professional with advanced HubSpot CRM expertise and a strong background in sales operations, client engagement, and project coordination. This individual would be responsible for managing the organization's sales pipeline, client onboarding, and contract implementation.
This position is heavily focused on HubSpot CRM management (approximately 75% of the role) and requires advanced experience using HubSpot to drive sales processes, automate workflows, monitor performance, and support business growth, making hands-on HubSpot experience essential. The role also includes preparing Discovery Call presentations, coordinating executive and client schedules, leading pre-launch meetings, and ensuring a seamless transition to the Customer Success Project Manager following contract execution. The ideal candidate is proactive, enjoys building processes, communicates effectively with clients, and thrives in a fast-paced, remote environment.
Primary Responsibilities:
HubSpot CRM & Sales Operations (Approximately 75% of Role)
- Own and manage HubSpot CRM on a daily basis.
- Maintain an accurate sales pipeline from lead generation through signed contract.
- Create and manage workflows, tasks, sequences, reports, and dashboards.
- Track lead activity, follow-up schedules, conversion rates, and sales metrics.
- Prepare contracts and sales documentation.
- Generate reports measuring sales performance, marketing ROI, and client engagement.
Client Support, Onboarding & Marketing
- Coordinate Discovery Calls by scheduling meetings, managing executive and client calendars, and preparing customized PowerPoint presentations and client-facing slide decks.
- Serve as the primary point of contact from contract execution through implementation, ensuring a smooth onboarding experience and successful client launch.
- Lead pre-launch meetings, coordinate internal teams and resources, review implementation timelines and expectations, and prepare onboarding materials.
- Facilitate a seamless transition to the Customer Success Project Manager through a formal handoff while communicating client priorities and key project details.
- Coordinate exhibit planning, manage marketing collateral, and track marketing performance, client engagement, and return on investment (ROI).
Key Qualifications:
- Advanced HubSpot CRM experience (required) with the ability to manage the sales pipeline, workflows, contacts, reporting, sequences, tasks, and dashboards.
- Strong proficiency in Microsoft PowerPoint, including creating polished Discovery Call presentations and client-facing slide decks.
- Strong proficiency in Microsoft Excel skills, including tracking sales metrics, client engagement, ROI, and reporting.
- Excellent project management and organizational skills with the ability to manage multiple priorities simultaneously.
- Strong verbal and written communication skills with a customer-first mindset.
- Must be flexible to accommodate meetings throughout the work day.
- Experience coordinating executive calendars and scheduling meetings across multiple stakeholders.
- Self-motivated, detail-oriented, and able to work independently in a remote environment.
