Job description

Our Customer is an American financial services mutual organization based in Milwaukee. The financial security company provides consultation on wealth and asset income protection, education planning, retirement planning, investment advisory services, financial planning trust and private client services, estate planning and business planning. Its products include life insurance, permanent life insurance, disability income, and long-term care insurance; annuities; investments; and investment advisory products and services.


Our customer is looking for an Insurance Document Associate on a contract basis to help support their ongoing business needs. This role is on-site in Franklin, WI.



Responsibilities:

  • Open, sort, evaluate, and distribute incoming mail to support business operations
  • Review and route misdirected mail to the appropriate departments
  • Acknowledge and log receipt of incoming mail in accordance with established procedures
  • Verify and report information to underwriters, completing required forms and escalating issues as needed
  • Receive, sort, and distribute physical mail, printouts, and courier deliveries
  • Support electronic document conversion and processing activities
  • Review and classify underwriting and claims documents based on established guidelines
  • Prepare documents for scanning, including organizing, labeling, and sequencing materials
  • Identify and route misclassified or non-compliant documents to the correct business areas
  • Process and route financial documents, including checks, following established procedures
  • Perform manual indexing and quality assurance on system-classified documents
  • Review and correct document classification, indexing errors, and remove duplicates or blank pages
  • Ensure all scanned documents meet quality and legibility standards
  • Process faxed documents, including classification, indexing, and preparation for digital storage
  • Scan documents accurately and troubleshoot scanning or system issues
  • Support document research, re-scanning requests, and retrieval of original documents
  • Maintain records, ship documents to storage, and support audit and testing activities
  • Respond to inquiries related to document processing and retrieval
  • Perform additional administrative and operational duties as assigned


Skills and Qualifications:

  • High school diploma or equivalent required
  • 1-2 years of experience in mail handling, document processing, or customer service
  • Strong attention to detail with high accuracy in data entry and document handling
  • Ability to prioritize tasks and meet tight deadlines in a fast-paced environment
  • Basic computer proficiency and ability to navigate multiple systems
  • Strong organizational and multitasking skills
  • Ability to work independently while following established procedures
  • Strong teamwork and collaboration skills
  • Ability to handle confidential information in compliance with privacy regulations
  • Good problem-solving skills with the ability to identify and escalate issues
  • Physical ability to lift 15-20 lbs consistently
