Job description
Our Customer is an American financial services mutual organization based in Milwaukee. The financial security company provides consultation on wealth and asset income protection, education planning, retirement planning, investment advisory services, financial planning trust and private client services, estate planning and business planning. Its products include life insurance, permanent life insurance, disability income, and long-term care insurance; annuities; investments; and investment advisory products and services.
Our customer is looking for an Insurance Document Associate on a contract basis to help support their ongoing business needs. This role is on-site in Milwaukee, WI.
Responsibilities:
- Open, evaluate, acknowledge, and distribute incoming mail for assigned business units.
- Review incoming mail to ensure proper routing and redirect misdirected documents to the appropriate teams.
- Officially identify and acknowledge receipt of incoming mail according to established guidelines.
- Report required information to underwriters and complete associated forms.
- Escalate exceptions, discrepancies, or processing issues to leadership when necessary.
- Receive, sort, and distribute physical mail, printouts, and FedEx deliveries.
- Assist with electronic document conversion and document processing workflows.
- Review and audit underwriting, claims, and insurance-related documents for accuracy and completeness.
- Identify, classify, and prepare documents for scanning using correct document types and ID sheets.
- Prepare checks for processing and route payments using established procedures.
- Index and classify disability benefits mail and other insurance documents within internal systems.
- Perform exception processing and quality assurance on auto-classified electronic documents.
- Review document images to verify document type, policy number, and insured information.
- Correct indexing errors, delete blank pages, and reclassify misidentified documents.
- Review and process incoming fax documents using established workflows.
- Scan documents while ensuring high image quality and correct scan paths.
- Detect scanning errors, double feeds, and quality issues, and troubleshoot scanner problems.
- Investigate unidentified mail and determine appropriate routing or disposition.
- Handle requests for original documents and document rescans.
- Support document audits, testing, and system validation activities.
- Maintain document storage and support shipping to records centers.
- Respond to basic inquiries regarding rescans and original documents.
- Perform miscellaneous administrative duties as assigned.
Skills and Qualifications:
- High school diploma or equivalent required.
- 1-2 years of mail handling or customer service experience.
- Strong ability to coordinate, prioritize, and manage work under tight deadlines.
- High degree of accuracy and attention to detail.
- Ability to work efficiently in a fast-paced environment.
- Basic computer proficiency.
- Ability to work independently while following established policies and procedures.
- Strong teamwork and collaboration skills.
- Ability to handle confidential information in compliance with privacy regulations.
- Ability to multitask and navigate multiple systems simultaneously.
- Strong problem-solving and exception-handling skills.
- Ability to consistently lift 15-20 lbs.
Preferred Qualifications:
- Experience with document scanning, indexing, or records management.
- Experience in insurance, underwriting, or claims document processing.
- Quality assurance or document auditing experience.
