Job description
Our Customer is an American financial services mutual organization based in Milwaukee. The financial security company provides consultation on wealth and asset income protection, education planning, retirement planning, investment advisory services, financial planning trust and private client services, estate planning and business planning. Its products include life insurance, permanent life insurance, disability income, and long-term care insurance; annuities; investments; and investment advisory products and services.
Our customer is looking for an Insurance Document Associate on a contract basis to help support their ongoing business needs. This role is on-site in Milwaukee, WI.
Responsibilities:
- Open, evaluate, acknowledge, and distribute incoming mail for the assigned business unit.
- Ensure incoming mail reaches the correct destination; reroute misdirected mail as needed.
- Officially identify and acknowledge receipt of all incoming mail per established guidelines.
- Report information to underwriters, verify required details, and complete associated forms.
- Identify and escalate problems or exceptions to leadership when necessary.
- Receive, slot, and deliver mail and print-outs, including FedEx sorting and distribution.
- Provide support for electronic document conversion.
Additional Responsibilities:
Underwriting, Document Preparation, and Classification (30%)
- Review and audit underwriting, claims, and benefit documents across product lines.
- Identify and route misdirected forms and documents to the correct area.
- Classify and prepare documents for scanning by applying ID sheets and resolving correct scan paths.
- Meet service-level agreements (SLAs) for document review, audits, and processing.
- Process checks by identifying type and routing appropriately to designated systems or banking functions.
- Index DI benefits mail and mark documents as “received” in the system.
Manual Indexing, Quality Assurance, and Fax Processing (40%)
- Analyze documents auto-classified/indexed by the system to ensure accuracy.
- Review and correct document type, policy number, and insured name; delete blank pages.
- Index documents the system cannot identify.
- Ensure all scanned documents are legible and usable; re-scan if needed.
- Review incoming faxes, classify, index, and attach ID sheets to complete processing.
- Meet SLAs for indexing, quality assurance, and fax handling.
Document Scanning and Support Services (15%)
- Perform accurate and consistent document scanning, ensuring high image quality.
- Troubleshoot scanner errors, double feeds, and quality issues.
- Re-scan documents due to requests or error resolution.
- Research unidentifiable mail and resolve policy/claim discrepancies.
- Handle original document requests from business areas.
- Support audit/testing of document classification and system updates.
Miscellaneous Duties (15%)
- Maintain and ship documents to the Records Center.
- Handle post-approval mail pouches and benefits documentation.
- Respond to basic inquiries for rescans and original documents.
- Monitor LAN and perform additional duties as assigned.
Skills and Qualifications:
- High school diploma or equivalent.
- 1–2 years of prior mail handling or customer service experience required.
- Strong ability to coordinate and prioritize work under tight deadlines.
- High degree of accuracy and ability to work effectively in a fast-paced environment.
- Basic PC proficiency, including document management systems.
- Ability to work independently while adhering to policy standards and procedures.
- Proven ability to work effectively in a team environment.
- Ability to handle confidential information in line with privacy laws and regulations.
- Strong multitasking skills and ability to navigate multiple systems.
- Must be able to lift 15–20 lbs consistently.
- Non-registered fingerprinted status required.
