Job description

Our Customer is an American financial services mutual organization based in Milwaukee. The financial security company provides consultation on wealth and asset income protection, education planning, retirement planning, investment advisory services, financial planning trust and private client services, estate planning and business planning. Its products include life insurance, permanent life insurance, disability income, and long-term care insurance; annuities; investments; and investment advisory products and services.


Our customer is looking for an Insurance Document Mailing Associate on a contract basis to help support their ongoing business needs. This role is on-site in Franklin, WI.


Responsibilities:

  • Verify shipping labels to ensure policy numbers, contract numbers, recipient information, and addresses are accurate
  • Generate shipping labels using internal data management systems
  • Assemble contract packages by inserting documents into USPS envelopes and affixing shipping labels
  • Perform quality assurance checks to ensure accurate document assembly and shipment
  • Process field requests to release, hold, or destroy contracts in accordance with established procedures
  • Investigate and resolve scanning discrepancies and shipping exceptions
  • Coordinate address verification and research requests with internal teams
  • Escalate complex shipping or processing issues and track resolution progress
  • Process returned contracts and document return reasons in tracking systems
  • Create shipping labels for returned, held, and reprocessed contracts
  • Analyze return trends and recommend process improvements
  • Sort contracts by Network Office and prepare shipments according to scan and ship schedules
  • Set up and maintain Network Office shipping boxes and labeling
  • Monitor inventory of shipping materials and coordinate replenishment
  • Process policy modifications and support additional contract processing activities
  • Maintain organized work areas and shipping supplies
  • Assist with training new team members on shipping and document handling procedures
  • Participate in audits to ensure compliance with company policies and regulatory requirements
  • Support the shipping and reprocessing of Life, Disability Insurance (DI), and Annuity contracts


Skills and Qualifications:

  • High school diploma or equivalent
  • 1-2 years of experience in mail handling, shipping, clerical, warehouse, customer service, or related operations
  • Strong attention to detail and accuracy
  • Experience with data entry and document processing
  • Basic knowledge of postal procedures and shipping operations
  • Strong organizational and time management skills
  • Ability to prioritize tasks and work effectively under tight deadlines
  • Basic PC proficiency, including Microsoft Office applications
  • Strong written and verbal communication skills
  • Strong problem-solving skills with the ability to resolve discrepancies
  • Ability to work independently while following established procedures
  • Ability to work effectively as part of a team
  • Ability to lift and move boxes weighing 15–20 pounds on a regular basis
  • Ability to work efficiently in a fast-paced environment
  • Ability to obtain a non-registered fingerprint clearance as required
