Our Customer is an American financial services mutual organization based in Milwaukee. The financial security company provides consultation on wealth and asset income protection, education planning, retirement planning, investment advisory services, financial planning trust and private client services, estate planning and business planning. Its products include life insurance, permanent life insurance, disability income, and long-term care insurance; annuities; investments; and investment advisory products and services.
Our customer is looking for an Insurance Document Mailing Associate on a contract basis to help support their ongoing business needs. This role is on-site in Franklin, WI.
The Insurance Document Mailing Associate plays a critical role in ensuring the accuracy, timeliness, and compliance of insurance policy and contract distribution. This position involves document verification, addressing, packaging, mailing, and exception management while upholding regulatory standards and ensuring a positive client experience. The role requires exceptional attention to detail, organizational skills, and the ability to collaborate across teams to streamline workflows and implement process improvements.
This role offers exposure to compliance-focused operational processes, opportunities to gain cross-functional knowledge, and the potential to grow into expanded administrative or operations roles within the organization.
Responsibilities:
Document Verification
- Verify shipping label information (policy number, contract number, recipient details) for accuracy against internal records
- Affix shipping labels securely to USPS envelopes and insert contracts according to standards
- Conduct quality checks on assembled documents to prevent errors
Label Production & Verification
- Generate shipping labels using data management systems
- Confirm label details (address, owner’s name) against company records
- Cross-reference label data across multiple databases using automated tools
Field Requests & Exception Management
- Process field requests to release, hold, or destroy contracts per established guidelines
- Investigate and resolve discrepancies related to scanning or data mismatches
- Coordinate with address verification teams for research and corrections
- Escalate complex issues to senior staff and track resolution timelines
Returns Processing
- Record reasons for returned contracts in tracking systems
- Generate labels for handled holds and returns
- Analyze return patterns to identify recurring issues and recommend improvements
Organizational & Logistical Duties
- Sort contracts into designated office bins for distribution
- Manage daily transport and ensure labeling accuracy by scan and ship date
- Set up and label new office bins as needed
- Monitor inventory of mailing supplies and coordinate replenishment
Additional Responsibilities
- Process policy modifications when required
- Restock supplies, including USPS bins and folders
- Assist in training new associates on document handling processes
- Participate in audits to ensure compliance with regulatory standards
Qualifications
- High school diploma or equivalent required
- 1-2 years of experience in mail handling, document processing, or customer service
- Experience working in a fast-paced environment with strict accuracy requirements
- Proven ability to work independently as well as part of a team
- Proficient in Microsoft Excel and Word
- Ability to lift up to 15 pounds
- Reliable, proactive, and self-motivated work ethic
- Strong note-taking accuracy and detail orientation
- High attention to detail and accuracy
- Proficiency in data entry and basic PC skills, including Microsoft Excel and Word
- Strong organizational and multitasking abilities
- Ability to communicate effectively in a corporate environment
- Problem-solving skills to analyze and address discrepancies
- Knowledge of postal/shipping procedures preferred
- Ability to handle confidential information appropriately
