We are seeking an Investor Relations Coordinator on a contract basis to help support our Customer's business needs. This role is hybrid in Mountain View, CA.
In this role, you will be part of the "engine" that makes the department run, helping manage and prioritize investor engagements, optimize calendars, and ensure high-stakes events are executed without a hitch. You’ll be reporting to a Senior Specialist who is invested in your growth, offering a front-row seat to how a public company communicates with the market.
Responsibilities:
- Inbound Request Management: Act as the first point of contact for the high-volume IR inbox. You will triage incoming inquiries from analysts and investors, route them to the appropriate team members, and maintain a real-time tracker to ensure no request goes unanswered.
- Heavy Calendar and Schedule Optimization: Manage the complex IR team calendar. In coordination with business partners, you’ll be responsible for scheduling critical prep meetings for quarterly earnings, Investor Days, and other key events, ensuring the team’s calendar is optimized, and key milestones are met.
- "Bus Tour" and Site Visit Coordination: Serve as the lead logistics point for analyst "bus tours" (on-site group investor meetings). This includes managing room bookings, catering, security clearance, and ensuring the on-site experience for investors is professional and polished.
- Database Maintenance: Keep the Investor Relations CRM up to date following meetings and conferences.
- Event Logistics: Support the planning and execution of large-scale IR events, ensuring all scheduling, travel, materials, and technology components are aligned.
Skills and Qualifications:
- 2+ years of experience in project coordination, executive administration, event planning, or similar high-volume operational roles
- Strong organizational skills with the ability to manage multiple priorities and deadlines simultaneously
- Proficiency in Microsoft Outlook (email and calendar management) and Google Workspace (Docs, Sheets, Calendar)
- Ability to remain composed and effective under pressure in a fast-paced environment
- Excellent written and verbal communication skills with the ability to engage professionally with executives and external stakeholders
- Strong problem-solving skills with a proactive and solutions-oriented mindset
- High attention to detail and strong follow-through
Preferred Qualifications
- Bachelor’s degree preferred
- Experience in Finance, Investor Relations, or Corporate Access environments
