Our customer is a large United States insurance company that is backed by more than 100 years of experience and provides insurance products and services for businesses and professionals in the United States., Canada and Europe. Headquartered in Chicago, IL, they have more than 20 US locations.
We are seeking a contract IT Project Manager to support our Customer's business needs. This role is 100% remote.
As an IT Project Manager, you will work in close partnership with your Portfolio Manager and your respective IT delivery teams, playing a critical role in overseeing the successful delivery of Portfolios, Products, Programs, and Waterfall Projects within your assigned area of responsibility. You will manage project financials at expected levels of quality and accuracy against their approved budgets, including Forecasting, Accruals, Reconciliation, Amortization, and Capitalization, across all stages of the project lifecycle and while adhering to the standards and controls set by PMO Governance. The IT Portfolio Project Manager role is evolving as the company advances on its journey to SAFe agile and remains critical to ensuring delivery success.
Responsibilities:
Project Initiation & Delivery Support:
- Ensure all project metadata (e.g., owner, dates, milestones, resources) is accurately reflected in Planview and updated as required.
- Update and track project status (Red, Yellow, Green) provided by delivery teams; document and update risks, issues, and dependencies.
- Support contract approvals, rate corrections, and tracking in COUPA, coordinating with Procurement, Application Development, and vendors.
- Collaborate with Release Train Engineers and Scrum Masters to obtain the roadmap and PI plans, identify key milestones, and set up tasks in Planview.
- Attend agile delivery meetings to understand and update project health, milestones, risks, mitigation plans, and dependencies in Planview.
- Execute project closeout activities according to defined standards and controls.
Financials:
- Manage end-to-end financials for both Waterfall and Agile projects, including budgeting, forecasting, actuals, variance analysis, accruals, and invoice reconciliation.
- Set baseline budgets in Planview and translate approved budgets into initial forecasts; update forecasts as needed.
- Update and validate accruals, follow up on outstanding items with vendors, and track until payment is received.
- Track actuals accurately, validate expected invoice amounts, approve invoices in COUPA, and update Planview and trackers accordingly.
- Ensure accurate time logging in Planview and follow up on weekly timesheet compliance; monitor forecast vs. actual trends.
- Provide monthly variance analysis, explaining root causes of discrepancies between forecast and actuals.
- Respond to ad hoc reporting requests and provide financial insights to portfolio and leadership teams.
Compliance & Operational Controls:
- Maintain standards and documentation in compliance with regulations, SOX/SOC1 requirements, and audit protocols.
- Act as point of contact for internal/external audit and compliance stakeholders for scheduled and ad hoc cadences.
- Complete operational controls on a daily, weekly, monthly, quarterly, and annual bases in accordance with internal frameworks.
- Responsibilities include financials checklist, capitalization checklist, hardware/Software Tracker, cash and expense variances, accrual and placeholder validation, paids, Coupa submissions and approvals, review of and action necessary with required financial reports (i.e., RPT01 Reconciliation, RPT01 Exception, Aged Payables, etc.), path to green, project attestation, Planview metadata
- Adhere to standards and best practices regarding data quality, privacy, reporting accuracy, communications, and risk/vendor management.
Skills and Qualifications:
- Bachelor’s or Master’s Degree with Master's Degree (preferred), in Computer Science, Information Technology, business, or equivalent work experience.
- Typically, a minimum of 5 years’ experience in IT project management leveraging Agile/LPM practices.
- PMP and/or SAFe LPM certifications preferred but not required, with related hands-on delivery experience.
- Typically, a minimum of 5 years’ experience in managing project financials and budgeting
- Experience using Jira, Confluence, Planview, LucidSpark/Mural, and the Microsoft Office suite.
- Understanding of financial management and accounting principles, including forecasting, accruals, reconciliation, amortization, and capitalization.
- Strong project management skills: ability to manage/support multiple products and projects at the same time, with budgets over $5 million per year.
- Proficient knowledge of Agile and Waterfall/DevOps/Program Management Lifecycle Methodologies & Standards.
- Strong knowledge of IT governance and risk management frameworks and compliance requirements.
- Excellent communication and interpersonal skills to work effectively with peers, clients, technology leadership, and subordinates in cross-functional teams.
