Job description

Boutique advisory law firm based in California seeks a remote part-time Law Firm Adminstrator to administer the operations of the firm, provide dedicated executive administration and support to the managing attorneys, and support our legal team to ensure the smooth operation of our offices and our practice.

The successful candidate’s working hours would be flexible blocks daily Monday through Thursday, subject to location and agreement, with adjustments as necessary.

Key Responsibilities:

  • Administrative Support: Manage calendars, schedule appointments, and organize meetings for attorneys and paralegals. Handle incoming communications and maintain filing systems.
  • Office Management:
  • Overseeing day-to-day administrative tasks and operations of the law firm
  • Coordinating meetings, travel plans, and interactions with external parties
  • Maintaining filing systems and organizing firm data
  • Assisting with client intake, firm policies and procedures, and related support
  • Coordinating with the firm’s bookkeeping and accounting personnel
  • Document Preparation: Draft, format, and proofread legal documents, including contracts, analysis memos, and related materials. Assist in preparing presentations and reports.
  • Client Relations: Serve as the first point of contact for clients, communicating and responding to inquiries with professionalism and courtesy.
  • Legal Research: Support attorneys in their legal work.
  • Team Collaboration: Work closely with legal staff to ensure deadlines are met and provide assistance as needed.

Qualifications:

  • 3-5 years experience in a legal office environment is required.
  • A paralegal certificate or Bachelor's degree in a related field is a plus.
  • Proficiency in Microsoft Office Suite and Clio legal management software.
  • Excellent verbal and written communication skills.
  • Strong organizational and multitasking abilities.
  • Detail-oriented with the ability to work under pressure.
