Our Customer is seeking a Leave and Accommodation Administrator, on a contract basis to help support our Customer's business needs. This role is 100% remote.
The Leave and Accommodation team plays a crucial role in supporting the company's leave/accommodation programs and time off policies. This team ensures that employees receive the necessary guidance, support, and resources throughout their leave of absence, whether related to medical, family, or workplace accommodation needs. Working with employees, managers, and HR, they support various types of leaves, ensuring adherence to company policies and relevant laws. The Leave and Accommodation Administrator is a key member of the LOAA Team, nestled within the broader Benefits Operations/Total Rewards team. At Total Rewards, their mission is to support the People Team in attracting, developing, motivating, and retaining a diverse, productive, and passionate workforce that successfully grows the business. The focus is on enhancing operational efficiency and effectiveness, and we are looking for someone who shares this drive.
We are seeking a Leave Administrator who plays a pivotal role in managing the transactional aspects of leaves of absence and accommodation requests, ensuring meticulous adherence to policies and regulations. This position partners closely with the internal Leave of Absence and Accommodation Business Partner (LOAA BP), supporting strategic initiatives by handling the detailed, operational execution of leave and accommodation processes. This position reports into the Manager of Leaves & Accommodations. Together, the team ensures a cohesive and efficient approach to managing employee leaves and accommodations within the organization.
Responsibilities:
- Manage the leave administration process from initial request to return to work, focusing on the transactional activities involved in gathering required paperwork, determining eligibility, and designating FMLA-qualifying leaves.
- Process and track all types of employee leave, including FMLA, STD, LTD, parental leave, and other company-specific leave policies.
- Offer guidance and support to employees about their leave entitlements and required documentation, ensuring they understand the process and feel supported.
- Serve as an initial resource for employees and managers with leave and accommodation related questions and concerns.
- Independently approve or deny leave requests based on medical information and eligibility.
- Organize and protect medical information in compliance with HIPAA.
- Oversee ongoing leave cases, handle extensions, and manage return-to-work processes, coordinating with managers to address workforce planning impacts.
- Act as a key operational partner to cross-functional business partners, facilitating their strategic objectives by handling the detailed administrative tasks associated with leave requests and accommodations.
- Ensure seamless operational support that allows the Leave & Accommodation Business Partners to focus on broader strategic alignment and coordination.
- Propose, formulate, and implement program policies and operational procedures that ensure compliance with relevant laws and regulations.
- Process and manage HR records and transactions related to leaves and accommodations in HRIS systems, ensuring accuracy and timely data entry.
- Collaborate effectively with the LOAA BP, HR partners, and other stakeholders to maintain cooperative relationships and align program activities with organizational goals.
- Oversee compliance of all leave processes with applicable federal, state, global regulations and internal policies, focusing on notification requirements and coordination.
- Work closely with payroll to ensure accurate advice to pay and assist in coordinating company PTO, sick leave, and other leave payments (e.g., STD, LTD, workers' compensation).
- Collaborate with the Leave & Accommodation Manager, LOAA BPs, HR/ER, legal, and other departments to continuously improve the leave administration process.
Skills and Qualifications:
- You have 2-3 years of experience in Leave of Absence (LOA) and Accommodation administration management in multiple settings.
- You have a background in handling complex leave and accommodation cases, including conducting detailed interactive discussions and managing complex leave scenarios.
- You exhibit excellent written and verbal communication skills and can effectively communicate complex information to various stakeholders.
- You have exceptional organizational skills, can prioritize multiple leave and accommodation activities, and resolve problems promptly with appropriate recommendations.
- You have demonstrated the ability to analyze information, make informed decisions, and handle sensitive situations with empathy and discretion.
- You have a track record of excellent judgment and the capability to make sound, independent decisions.
- You build strong relationships with HR partners and business leaders and can make thoughtful recommendations to resolve complex requests.
Preferred:
- Familiarity with leave management software (e.g., AbsenceSoft) and experience with advice-to-pay (ATP) processes and payroll systems like ADP.
- Understanding of advanced leave laws and regulatory changes, allowing you to make recommendations for policy and process improvements.
- Certification in Disability Management, Leave Management, or Rehabilitation Counseling.
- Previous experience with insourced leave and accommodation programs.
