Job description

The Mom Project is excited to partner with a law firm, located in Boston, Massachusetts/Remote. They are looking to add a Legal Administrative Assistant to their team. The ideal candidate will have good communication skills, be detail oriented, creative, energetic, curious, and born to multitask.

Core Duties:

  • Mail sorting, scanning, naming and filing to case management software through established firm procedures.
  • Sending out and following up on medical record requests. This duty requires exceptional organization and consistent follow up, as well as good communication with the firm's paralegals.
  • Answering the phone, gathering appropriate identifying information, appropriately directing and/or handling the call. Communicating effectively with clients, opposing counsel, opposing party, and/or third parties.
  • Performing intakes and follow up and monitoring of intakes.
  • Organizing case expenses, updating Quickbooks if necessary.
  • Professional demeanor, and strong verbal communication skills to direct calls to the appropriate recipient or otherwise gather the necessary details before deciding on next steps.

Qualifications/Skills:

  • 1-4 years experience in law firm or in other secretarial position
  • Ability to learn and adopt firm systems and procedures related to case management software, like Filevine
  • Exemplary planning and time management skills
  • Strong experience working in case management software systems
  • Up-to-date with advancements in office gadgets and applications
  • High level verbal and written communications skills
