Location: Los Angeles area or 100% remote (west coast)
Our customer's Legal Operations Purchasing and Technology pillar is seeking a Legal Billing and Payment Program Manager to support the the legal team globally. This role will service a variety of stakeholders throughout the region and support/partner with the attorney teams and external vendors
Primary Responsibilities Include
- Becoming an expert in the current e-Billing process
- Assist in maintaining and optimize internal resources around e-billing and other tools
- Optimize internal resources to improve legal workflows including developing and circulating best e-billing practices, matter creation procedures, and other tools and processes.
- Assess and complete help tickets including matter inquiries, SOWs, and other related queries.
- Deep dive and root-cause complex billing issues as they arise and suggest solutions
- Troubleshooting invoice submission issues (e.g. why an invoice was rejected or placed on hold).
- Serve as primary escalation regarding e-billing and other workflows where appropriate
- Coordinate with and provide guidance to company's legal vendor regarding process streamlining.
- Assisting in identifying and developing processes improvements in company e-billing and other systems; recommending and implementing process improvements.
- Serve as a back- up coordinator in the PR/PO process.
- Interact with attorneys, vendors, paralegals, administrative assistants, outside counsel, source to pay, finance, and other teams to answer questions concerning invoicing status or processing.
- Assist in creating project/process documentation and self-help tools: process docs, toolkits, legal training, Q&A, process flows, etc.
- Experience created technology or semi-automated solutions to manual processes
- Assist in collecting/tracking data to manipulate in software such as Tableau and Google Sheets and create comprehensive dashboards that facilitate accurate analysis and to drive Legal Department decision making.
Qualifications:
- Consulting mindset: solutions oriented; detail oriented
- Experience troubleshooting invoice payment issues, collaborating with AP, finance, legal or similar functions.
- Excellent communication skills (verbal and written)
- Outstanding organizational skills and meticulous
- Ability to resolve complex issues in creative and effective ways
- Comfort working with data and metrics
- Experience as lead e-billing administrator
Requirements:
- Minimum 6 years of experience in legal operations role
- Legal Tracker invoicing and billing
- Experience automating manual processes
- In house legal ops or Law department/firm experience
