Job description

Are you a highly organized and detail-oriented professional? Do you thrive in a fast-paced, high-volume environment? If so, we want you to join our dynamic estate planning law firm!

Responsibilities include but are not limited to:

  1. Cheerfully greet clients and office visitors.
  2. Prepare for client meetings, including organizing the conference room and refreshments.
  3. Accurately maintain contacts and matters in the firm’s CRM.
  4. Data entry, electronic, and physical file management.
  5. Maintain all client files (probate, estate planning, business organizations, and referral sources) from opening to closing.
  6. Ensure client photos are taken and uploaded to their files.
  7. Keep the office clean and orderly, including ordering supplies.
  8. Assist with coordinating, facilitating, and managing estate planning seminars and other firm events.
  9. Assemble client estate planning binders/portfolios.
  10. Maintain office equipment, troubleshoot problems, and arrange repairs as necessary.
  11. Timely and accurately prepare and submit client estate planning documents, proposals, agreements, marketing materials, and other correspondence as needed.
  12. Review and distribute mail and respond to inquiries as appropriate.
  13. Conduct internet research as requested.
  14. Work with title companies to obtain deeds, e-file deeds, and other documents.
  15. Maintain confidentiality and work independently and collaboratively.
  16. Handle a fast-paced, high-volume workload.
  17. Other tasks and projects as assigned.

Requirements: Office Experience Required

  1. Ability to type a minimum of 50 WPM.
  2. Strong computer skills (Word, Outlook, Excel, Internet-based programs).
  3. Prior experience in data entry and administrative support is preferred.
  4. Strong verbal and written communication skills.
  5. Excellent organizational skills (both electronic and paper files).
  6. Ability to prioritize and multitask effectively.
  7. Extreme attention to detail.
  8. Self-starter with a positive attitude, team player, and quick learner.
  9. Strong work ethic, reliability, and dependability.
  10. Reliable transportation and a valid driver's license.

This position is full-time, Monday through Friday, from 9:00 a.m. to 5:30 p.m.
