Job description
The Mom Project is excited to partner with our client, a leading public accounting firm in the San Francisco Bay Area providing a wide variety of financial services to a diversified, prestigious clientele specializing in audit, compliance, estate planning, consulting and litigation services. They are looking to hire an Administrative Assistant for their Litigation Support Services Department. This position will report directly to our Litigation Administrative Supervisor.
Summary:
Their litigation professionals have served as strategic partners with leading attorneys and high net worth clients in thousands of dissolution cases in California and across the nation, building relationships that last for decades. The Litigation Administrative Assistant’s role is to support the Litigation Administrative Supervisor in providing full and diversified administrative support to the partner’s and senior professionals in our litigation department. Their ideal candidate is a self-motivated individual possessing excellent verbal and written communication skills, capable of working under pressure, either in a group or autonomously, while maintaining a professional and approachable demeanor, and uses sound discretion at all times.
Duties include:
- Maintaining various departmental calendar’s, including the litigation court calendar, event’s calendar, and partner calendars
- Scheduling weekly meetings, including preparing agendas, taking notes, and following-up on action items
- Assisting with arranging client and attorney meetings (includes providing lunch for attendees), confirming appointments, and sending calendar meeting invitations
- Running internal conflict of interest checks
- Assisting with processing client invoices on a bi-monthly basis, or as needed
- Setting up new client files
- Working with documents received, this includes reviewing, processing and indexing documents, uploading to portal for client and attorney access
- Performing other duties as required
Minimum Requirements:
- 5-7 years of professional services firm experience (specific experience within a litigation group is helpful)
- Familiarity with tax returns, financial statements, real estate documents, bank statements and brokerage statements is very beneficial
- Strong computer skills. Proficiency with Word, Excel, Adobe Acrobat, Goldmine, Quicken, PowerPoint and MS Outlook
- Experience with time entry related to billable and non billable hours
- Experience uploading documents to portals is a must
- Ability to multi-task and prioritize tasks with good judgment
- Ability to maintain composure and sense of humor
- High attention to detail
- Demonstrated dependability and sense of urgency
