Job description

Founded in 1999 in Chicago, IL, our Customer is a limited liability partnership and the U.S. member firm of a global network of independent audit, tax, and consulting firms.


We are seeking a Location Services Specialist on a contract basis to support our customer's business needs.


The Location Services Specialist, under minimal to no direction, helps deliver the office workplace experience for colleagues. This position is responsible for supporting daily office operations such as visitor management, safety, hospitality experiences, reception (including answering multiline telephone systems for a single location or multiple locations), and facilities coordination in accordance with location services playbooks, policies, and guidelines.


The Location Services Specialist provides best-in-class hospitality experiences for internal and external clients. In tandem with the Location Services Supervisor or Manager, ensures the location is safe, well-maintained, and clean. Responsible for interacting with building management and vendors. This position oversees maintenance of office equipment and supplies, including furniture, phones (excluding cellphones), security cards, and the ordering and replenishment of office supplies. Assists with office moves and remodels as needed. Additionally, provides support to other areas of ESS by performing and contributing to intermediate to advanced projects or requests. Acts as a liaison to the office or market leader on matters related to location services, as needed.


The Location Services Specialist supports efforts to sustain and energize a local culture that promotes positive connection with the larger firm through internal and client-facing activities that enhance the overall workplace experience.



Responsibilities:

  • Coordinate with building management on building security, workplace health and safety, emergency evacuation support, sustainability initiatives, landlord-required forms/documents, special requests, and maintenance issues
  • Reconcile monthly billing for parking and landlord-provided services
  • Conduct daily walkthroughs of the office space and follow up on maintenance issues raised by site leadership or employees
  • Deliver services and follow procedures outlined in the location services playbook
  • Request bids from internal resources, building maintenance teams, and external vendors/contractors for work or services needed at the location
  • Coordinate office maintenance activities including carpet care, security systems, HVAC, plant services, furniture repairs, appliances, office equipment, and AED devices
  • Audit service invoices for accuracy and submit for accounts payable processing
  • Purchase and maintain inventory of office supplies and equipment by monitoring stock levels and replenishing before depletion
  • Research and select approved or cost-efficient vendors to stay within budget
  • Maintain vendor relationships, coordinate payments, and track total spend
  • Ensure orders comply with national programs and internal purchasing requirements
  • Reconcile purchasing card charges for accuracy and submit timely reconciliations
  • Review employee logs to support onboarding and staffing changes
  • Support onboarding for new hires, interns, and transfers by providing office setup, required supplies, and training on building procedures, local office policies, and equipment usage
  • Support offboarding processes by coordinating badge deactivation/collection and retrieving firm property as needed
  • Monitor and respond to ServiceNow location services requests, ensuring timely acknowledgement and fulfillment
  • Provide operational support for mail services, shipping (UPS/FedEx), and distribution of incoming/outgoing mail
  • Support printing, binding, scanning, and copying requests
  • Locate, manage, and maintain client files and records; coordinate off-site file orders per retention guidelines
  • Support visitor management and reception activities, including visitor check-in tracking and badge control
  • Coordinate meetings and events including catering, setup/cleanup, conference room bookings, and audio-visual support
  • Perform additional duties as assigned


Skills and Qualifications:

  • High school diploma or GED required
  • Associate degree preferred or equivalent relevant experience
  • 0-3 years of experience in a related role
  • Strong communication skills with the ability to engage a diverse audience
  • Intermediate Microsoft Office skills and ability to quickly learn new programs and systems
  • Basic knowledge of technology tools used in facilities/location services operations
  • Strong organizational, prioritization, and time management skills
  • Strong attention to detail with the ability to manage multiple tasks and projects
  • Strong interpersonal and customer service skills
  • Strong grammar and proofreading skills
  • Ability to prepare professional presentations including charts, tables, graphics, speaker notes, and handouts
  • Intermediate knowledge of facilities management practices
  • Ability to respond positively to changing circumstances and support continuous improvement
  • Ability to work collaboratively with location services leadership during peak workload periods
  • Prior experience in a professional office environment
  • Willingness to travel (5%)

Hours and Location:

  • M-F, 40 hours/week
  • This role is on-site in St. Louis, MO.
