We are seeking a Media Business Operations Manager on a contract basis to support our Customer’s business needs. This role will be 100% remote.
Responsibilities:
Operational Business Rhythms & Cadence
- Establish, document, and manage end-to-end processes for annual and quarterly media planning, creative briefing, weekly campaign updates, and executive media reviews.
- Own and manage the master operational calendar, ensuring alignment and dependency tracking across internal marketing teams, agencies, and regional partners.
- Prepare operational reports, financial summaries, and strategic updates for senior leadership, ensuring clarity and consistency.
Workflow Governance & Tooling
- Serve as the Asana subject matter expert by designing, implementing, and maintaining standardized campaign and project workflows and templates.
- Identify workflow bottlenecks and implement scalable solutions to improve time-to-market.
- Oversee centralization of media documentation, ensuring proper organization, accessibility, and version control.
Financial & Legal Oversight
- Liaise with Finance to manage the full budget lifecycle, including forecasting, purchase order creation, invoice processing, and reconciliation with agencies.
- Coordinate with Legal and Procurement to manage vendor contracts, media disclosures, and compliance requirements.
- Identify operational risks related to budget, timing, or compliance and track mitigation plans.
Strategic Enablement & Team Capacity
- Partner with Analytics and Data Science teams to standardize KPIs and reporting templates across campaigns and channels.
- Develop and maintain an operations manual and conduct onboarding for new hires and agency partners.
- Lead change management efforts and communicate the value of new processes to cross-functional teams.
Skills and Qualifications:
- 8+ years of experience in program management, central operations, or chief of staff roles within B2B marketing or media environments.
- Proven media operations experience.
- Advanced expertise in Asana, including workflow design and dashboard customization.
- Strong project management background with experience managing multiple complex initiatives under deadlines.
- Excellent written and verbal communication skills, with the ability to synthesize strategy and process for all seniority levels.
- Demonstrated ability to influence cross-functional partners such as Finance, Legal, Sourcing, and Compliance.
- Expert-level experience with financial tracking, procurement workflows, and budget reconciliation.
- Strong emotional intelligence and ability to navigate organizational complexity.
- Ability to quickly assess operational environments and prioritize high-impact initiatives.
- Demonstrated history of streamlining business operations and improving efficiency.
- Experience using AI or ML tools for risk mitigation, operational insights, or workflow optimization.
- Proficiency with data visualization tools such as Tableau, Looker, or Power BI.
