Job description

Title: Medical Billing & Reception Assistant (CT or ET Zones)
Location: 100% Remote | Must sit in CT or ET zones
Hourly Rate: $25/hr
Status: ongoing 1099 contractor

  • Jan - March: 10 - 15 hrs/wk
  • March - July: ~ 30 hrs/wk (maternity leave coverage)
  • Then 15 - 30 hrs/wk as practice is growing quickly

Our client is a busy and growing psychotherapy practice (20+ providers) specializing in the treatment of eating disorders, trauma, and depression. The Billing & Scheduling Admin is an individual who will devote 3-6 hours per day on the computer and telephone, ensuring that all psychotherapy sessions are accurately billed and promptly responding to client inquiries to schedule initial therapy appointments.

The majority of the work is done during regular work hours (8AM-5PM EST), with some flexibility to complete billing responsibilities and return phone calls during evening and weekend hours.

The Billing & Scheduling Admin is responsible for:

  1. Filing insurance
  2. Processing patient payments
  3. Calls and emails with insurance companies to determine benefits
  4. Calls and emails with patients for billing inquiries
  5. Establishing and maintaining company contracts with insurance providers
  6. Logging and tracking staff income, payroll, and company revenue
  7. Logging and tracking inquiry stream and referral sources
  8. Fax, email and paper mail coordination
  9. Telephone communication with potential patients for scheduling
  10. Email communication with with potential patients for scheduling
  11. Staff support
  12. Management support
  13. Other duties as assigned

The Billing & Scheduling Admin must:

  1. Have outstanding communication skills
  2. Have excellent attention to detail
  3. Have ease and accuracy in reading and recording numbers
  4. Have expertise with Excel, Word, Outlook, and Medical Billing (familiarity with Simple Practice would be helpful)
  5. Have a flexible disposition
  6. Possess the organizational skills to prioritize tasks (triage), without negating or ignoring those of lower urgency - while also having the wisdom to know when to utilize supervisory consultation in that process
  7. Possess discretion and respect for confidentiality
  8. Be disciplined and self-motivated when approaching duties, mostly in a remote setting
  9. Have the self-esteem and maturity necessary to admit mistakes, revise, and shift course when needed
  10. Collaborate and communicate well with a team
