Office Administrator/Office Manager
100% Remote
12 hours/week

We are a relatively young Math Tutoring company. We are looking for a proactive and organized Remote Office Manager to oversee various administrative tasks crucial to the smooth operation of our virtual office.

The ideal candidate will thrive in a remote work environment, possess exceptional organizational skills, and have a keen attention to detail.

This position requires strong communication skills and the ability to manage multiple priorities effectively.

Responsibilities:

  • Schedule Management: Utilize Tutorbird and Google Suite to coordinate appointments for both clients and tutors, ensuring optimal utilization of resources and timely session bookings.
  • Business Process Documentation: Document existing business processes and develop new ones as needed, streamlining operations and ensuring consistency in our workflows.
  • Client Surveys and Complaint Resolution: Conduct surveys to gather feedback from clients, identify areas for improvement, and address any complaints or concerns promptly and professionally.
  • Lead Follow-Up: Follow up with potential clients to provide additional information, answer questions, and convert leads into bookings, maintaining a high level of customer service throughout the process.
  • Data Management: Maintain accurate records and databases related to client information, tutor availability, and session bookings, ensuring data integrity and confidentiality.
  • Communication and Collaboration: Facilitate communication between clients, tutors, and management team members, keeping all stakeholders informed and updated on relevant information.
  • Administrative Support: Provide general administrative support to the management team, including scheduling meetings, preparing documents, and assisting with special projects as needed.

Qualifications:

  • Bachelor's degree in business administration, communications, or a related field and/or Proven experience in office management, administrative support, or customer service roles, preferably in a remote setting.
  • Strong organizational skills and attention to detail, with the ability to manage multiple tasks simultaneously and prioritize effectively.
  • Excellent communication skills, both written and verbal, with a customer-centric approach.
  • Proficiency in scheduling and calendar management software (e.g., Google Calendar, Microsoft Outlook).
  • Ability to work independently with minimal supervision and collaborate effectively in a remote team environment.
